1 Year fixed-term contract initially from the start date, 36 hours per week, 39 weeks per year (term time only plus Inset Days) annual leave to be taken in non-term time.

St Mary’s Catholic College is looking for an enthusiastic individual to provide administrative support to our SEND department. The successful candidate will support the SENDCO and SEND department with a range of administrative tasks and will need to have strong organisational and administrative skills, good ICT skills, be a team player, have patience and a sense of humour.

As well as working as part of a team, you will also be expected to use your own initiative, be proactive and will have excellent communication, time management and organisational skills with the ability to maintain a calm and professional manner at all times. Previous experience of working with young people within a school environment would be an advantage.

Key Duties and Responsibilities

  • Provide administrative support in SEND meetings, taking notes and locating files and other information as requested.
  • Type up notes of meetings and SEND Review documents etc, in order to ensure all records are kept up to date and accurate, so supporting the education of our students with SEND
  • Maintain accurate files and records of students with SEND.
  • Support the SENDCO with the SEND identification, assessment, monitoring, and review process ensuring all records are updated regularly.
  • Complete administration of student referrals and support the SENDCO in preparing for a range of meetings with external agencies.
  • Oversee room bookings and appointments for external visitors and manage the appointment diary for the SENDCO.
  • Support with the gathering of evidence from teachers regarding students’ normal way of working.
  • Take initial enquiries from parents/carers and communicate them to the SENDCO as appropriate.
  • Liaise with parents/carers about appointments and meeting times.
  • Prepare relevant documents for EHCP applications, Annual Review meetings and High Needs Funding, ensuring statutory timescales are met.
  • Administration of all new and prospective SEN students to the school, liaising with feeder schools, Data team, Year team, LEA, teaching staff and parents. Ensure that SEN records are retrieved, filed and stored correctly and information is shared with all stakeholders.
  • Support the SENDCO in maintaining and updating costed provision maps and expenditure records
  • Support the SEND team with timetabling of interventions and allocation and distribution of Learning Support Assistants.
