About the Role

We're seeking a dynamic Part-Time Administrative Officer to join our team in a remote capacity. Some travel will be required for client meetings, training sessions, and networking events. You should be willing to travel in and around Northamptonshire, Oxfordshire, Buckinghamshire and Becfordshire. This role is perfect for a self-motivated professional who thrives in a flexible work environment while maintaining strong client relationships.

Key Responsibilities

Client Relations & Administration:

  • Manage client on-boarding processes and assessment scheduling
  • Serve as point of contact by phone, email, and face-to-face
  • Serve as primary interface with clients and their families, ensuring exceptional service delivery
  • Coordinate with healthcare professionals, NHS trusts, and local authorities
  • Handle service inquiries and maintain client communication logs
  • Responsibility for opening and redirection of incoming and outgoing mail
  • Conduct online research to support business operations
  • Draft professional emails and handle business communications
  • Support recruitment activities including candidate screening and interview coordination
  • Maintain compliance records and assist with CQC documentation requirements

Healthcare Operations Support:

  • Coordinate care plan documentation and updates
  • Process staff certifications and training records
  • Coordinate DBS checks: new applications, three-year renewals, and annual update-service submissions
  • Handle referrals from healthcare professionals and social services
  • Support staff scheduling and coordination
  • Assist with safeguarding documentation and compliance requirements
  • Take meeting minutes on request and produce clear written records

Business Development Support:

  • Support tender applications and bid writing processes
  • Research potential clients and contract opportunities
  • Assist with proposal preparation and compliance documentation

Professional Development:

  • Attend volunteer activities and community engagement events
  • Participate in networking events and industry meetups
  • Participate in required training sessions and professional development opportunities

Digital Marketing & Content Management:

  • Collaborate with our Digital Marketing Consultant to plan and coordinate social media content across Facebook, LinkedIn, and Instagram
  • Monitor social media channels and support engagement strategies under expert guidance
  • Assist in creating compelling content and editing blog posts in partnership with marketing team
  • Stay current with industry trends to develop relevant, timely social media posts with consultant input

What We're Looking For

  • Excellent written and verbal communication abilities and interpersonal skills
  • Proven administrative experience, preferably within a health or social care setting
  • Experience handling confidential and sensitive information
  • Professional and welcoming manner when dealing with clients and telephone inquiries
  • Proven experience with Instagram, LinkedIn, and Facebook
  • Blog writing and social media page management experience
  • Professional email drafting and business communication skills
  • Proficiency in Microsoft Office Suite and Google Workspace
  • Strong administrative and organizational skills with attention to detail
  • Ability to prioritize workload and meet deadlines
  • Familiarity with healthcare services and industry knowledge
  • Understanding of safeguarding, data protection, and confidentiality protocols
  • Knowledge of DBS processes and compliance requirements

Ideal Candidate:

  • Self-starter who excels in remote work environments
  • Comfortable with travel for client meetings and training sessions
  • Experience or willingness to learn digital systems for data entry and reporting
  • Knowledge of tender application and bid writing processes
  • Ability to take accurate minutes and produce clear written records
  • Reliable, proactive, and able to work independently and as part of a team
  • Ability to work on own initiative, manage, and prioritise a busy work schedule
  • Willingness to complete mandatory training and maintain compliance
  • Passion for digital marketing and client service
  • Ability to balance multiple priorities and deadlines
  • Experience working in a proactive and flexible way

Desirable Qualifications:

  • Experience in a care or support service environment
  • NVQ Level 2 or 3 in Business Administration or equivalent qualification
