A welcoming and inclusive secondary school in Greenwich is seeking an organised, proactive and highly professional Office Administrator to join its busy school office. This is a key administrative role supporting the smooth day-to-day running of the school and providing an efficient and professional service to students, parents, staff and visitors.
The successful candidate will work closely with the Deputy Headteacher and SENCo, providing administrative support across pastoral, safeguarding, attendance, SEND and general school operations. Previous experience using Arbor is essential, as the successful candidate will be expected to confidently manage and maintain accurate information using the school’s MIS.
Provide efficient day-to-day administrative support to the school office.
Act as a welcoming and professional first point of contact for students, parents, staff and visitors.
Manage incoming calls, emails, correspondence and general enquiries.
Maintain accurate records, databases, filing systems and school documentation.
Prepare letters, reports, forms, meeting paperwork and other administrative documents.
Support the organisation of school meetings, appointments and events.
Maintain confidentiality when handling sensitive student, parent and staff information.
Use Arbor confidently to maintain and update student records and school information.
Record and manage attendance, student information, contacts and other relevant data.
Produce reports and provide accurate information to school leaders when required.
Ensure information entered onto Arbor is accurate, current and maintained in line with school procedures.
Support colleagues with administrative queries relating to Arbor and other school systems.
Provide direct administrative support to the Deputy Headteacher, including diary management, meetings, correspondence and documentation.
Assist with the preparation of reports, presentations, meeting agendas and minutes.
Support the Deputy Headteacher with pastoral, attendance, behaviour and safeguarding-related administration.
Maintain accurate records and ensure follow-up actions from meetings are completed promptly.
Work closely with the SENCo to provide effective administrative support for SEND provision.
Maintain accurate SEND records, documentation and correspondence.
Assist with the organisation of SEND meetings, reviews and appointments.
Support communication with parents, external professionals and other relevant agencies.
Ensure SEND documentation is accurately filed and readily available when required.
Support the school’s safeguarding and pastoral administration in accordance with school policies and procedures.
Assist with attendance monitoring and follow-up administration.
Maintain accurate records relating to student welfare, attendance, behaviour and safeguarding.
Handle confidential and sensitive information with discretion and professionalism.
Liaise with staff, parents and external professionals as required.
Support admissions, pupil records, trips, events and other school-wide administrative processes.
Assist with the smooth running of the reception and school office.
Provide administrative support to members of the Senior Leadership Team and wider staff.
Respond calmly and professionally to busy periods, competing priorities and unexpected situations.
Contribute positively to the wider life of the school.
Previous experience in an administrative or school office role.
Previous experience using Arbor is essential.
Strong IT and Microsoft Office skills.
Excellent written and verbal communication skills.
High level of organisation and attention to detail.
