Job description

VANRATH are working alongside a leading Supply Equipment organisation with a prestigious reputation for the recruitment of a Scheduling Coordinator.

This is a Monday - Friday (9.00am - 5.00pm) - Permanent position.

This role is based in the company's North Belfast office. After probation, there is the option to work 2 days a week from home.

Salary

£24,000 - £26,500 + Fantastic Benefits & Progression Opportunities

Responsibilities
  • Respond to customer and colleagues' emails daily.
  • Schedule engineers for open jobs daily, liaising with the service administration manager for any changes or adjustments.
  • Communicate with customers to keep them updated on schedule dates, order ETAs, parts, etc.
  • Create service job sheets for any service or repair attended by an engineer.
  • Liaise with warehouse personnel to ensure parts needed are distributed to engineers by courier for scheduled jobs.
  • Check the service inbox daily for customer POs, orders, and queries.
  • Draft quotations for non-contract work such as repair call outs, service work, or spare parts sales.
  • Ensure electronic records are accurate, including pricing, equipment details, locations, and contact information.
  • Perform general administration duties such as answering phones, filing, and maintaining current records.
  • Coordinate with UKAS engineers and calibration suppliers to ensure service equipment is within calibration and sent for calibration when due.
  • Communicate with suppliers regarding parts, services, and order arrivals.
Requirements
  • Proven experience in a similar role involving coordination, scheduling, or planning.
  • Excellent organizational skills with the ability to prioritize tasks effectively.
  • Strong attention to detail and accuracy in all work performed.
