About the role

We’re on the lookout for an organised and proactive Scheduler to join our dynamic team. In this role, you’ll report to the Scheduling Team Leader and play a key part in creating visit schedules for our consultants. Your focus will be on balancing client needs with maximum diary efficiency to ensure seamless operations. This involves coordinating schedules, identifying the best calendar openings and working closely with clients to confirm suitable dates and times.

What you’ll be getting up to

  1. Work closely with both clients and consultants to meticulously plan site visits that balance efficiency, cost-effectiveness and client needs. This involves understanding client requirements and tailoring schedules to deliver exceptional service.
  2. Ensure diaries are optimally utilized, prioritising directly employed consultants first, followed by associates, to maintain high levels of efficiency and productivity across the team.
  3. Assign appointments to consultants based on the nature of the visit, ensuring the right expertise is matched to the task for optimal results and client satisfaction.
  4. Collaborate with consultants to keep diary availability current, ensuring scheduling is accurate and reflective of real-time changes.
  5. Act as a key point of contact for clients, coordinating and sharing critical information via telephone and email to keep them informed and supported.
  6. Regularly update internal scheduling systems with the status of visits, ensuring accurate and accessible records for team use.
  7. Work seamlessly with other teams within the organisation, addressing scheduling queries, and providing necessary information to support broader operational goals.
  8. Handle client inquiries positively and proactively, resolving issues where possible and escalating complex concerns as needed to maintain high levels of client satisfaction.
  9. Represent the scheduling team at client meetings when required, building strong relationships and providing valuable insights to enhance the client experience.

The ideal candidate will have a keen eye for detail and a knack for balancing efficiency, cost-effectiveness, and client needs when planning site visits. You should be confident in managing schedules, assigning appointments based on expertise, and ensuring diaries are fully optimised.

Strong communication skills are essential, as you’ll be a key point of contact for clients, providing updates and support via phone and email. We value team players who can collaborate seamlessly across departments, address scheduling queries, and maintain accurate internal records. You’ll also have the opportunity to represent the scheduling team at client meetings, strengthening relationships and driving positive outcomes.

Must-haves:

  1. Proven experience in scheduling, planning or diary management.
  2. Excellent telephone manner with strong communication skills.
  3. Proficiency in IT, including all Microsoft Office products, especially Excel.
  4. Good knowledge of UK geography and postcode areas.
  5. Exceptional attention to detail, with the ability to work efficiently and accurately.
  6. A proactive approach to problem-solving, with the ability to work independently and take initiative.
  7. Highly self-motivated and organised, capable of prioritising tasks and meeting deadlines.
  8. A commitment to going above and beyond to ensure tasks are completed successfully.

Nice-to-haves:

  1. A-level standard of education or equivalent qualifications.
  2. Experience in a customer-facing role, demonstrating the ability to build rapport and maintain strong relationships.
