Job Description

We are seeking a dynamic and customer-focused Sales Coordinator to join our team in Baghdad, Iraq. As a Sales Coordinator, you will play a crucial role in supporting our sales team, managing customer relationships, and driving revenue growth for our hotel.

  • Support the Director of Sales & Marketing in managing appointments, scheduling, reports, and travel planning.
  • Coordinate the team’s daily, weekly, and monthly schedules, follow-ups, training reminders, and internal communications.
  • Assist in preparation and distribution of business presentations, sales reports, and meeting documentation.
  • Maintain and update a comprehensive filing and documentation system (both digital and physical).
  • Prepare and manage the department’s office supply inventory, purchase requests, and materials requisition.
  • Assist in compiling and updating client databases on Opera and Microsoft Excel.
  • Prepare and send quotations, sales proposals, contracts, and corporate offer letters as directed by Account Managers.
  • Track incoming inquiries, group requests, and promotional email campaigns—ensuring timely responses (within 24 hours).
  • Support the execution and follow-up of sales activities, FAM trips, local exhibitions, and promotional campaigns.
  • Coordinate client in-house visits and hotel tours in the absence of the Sales Team, ensuring professional representation.
  • Maintain and replenish brochures, fact sheets, flyers, and presentation kits for corporate use.
  • Update promotional information across digital platforms including the hotel website and client-facing communication, as assigned.
  • Conduct outbound calls and email campaigns to existing and prospective accounts as directed
  • Uphold the Mövenpick brand ethos and Heartist values in all internal and external interactions.
  • Demonstrate a positive, courteous, and guest-first attitude, maintaining a high standard of grooming and presentation.
  • Show a strong sense of confidentiality and ethics in handling sensitive information.
  • Promote team synergy and inter-departmental cooperation.
  • Remain adaptable to extended working hours or alternative assignments when operational demands require.
  • Maintain familiarity with hotel offerings, room categories, facilities, promotions, and policies.
  • Ensure the Sales Office is manned during working hours, coordinating breaks accordingly.

Qualifications

  • 2+ years of experience in a sales coordination role, preferably in a related industry
  • Excellent verbal and written communication skills in English and Arabic; additional language skills are a plus
  • Strong interpersonal and problem-solving abilities
  • Exceptional organizational skills with the ability to manage multiple tasks simultaneously
  • Detail-oriented with a focus on accuracy and timeliness
  • Proven ability to work collaboratively in a team environment
  • Self-motivated with the ability to work independently in a fast-paced setting
  • Excellent customer service skills with a professional telephone etiquette
  • Strong sales and presentation skills
