Job overview

This is an exciting opportunity to join Gloucestershire Health and Care NHS Foundation Trust working within the Research and Development Team, providing a range of administrative support functions essential to the continued delivery of Research studies.

The role is extremely varied and requires the ability to deal with a wide range of duties. The successful candidate will join the Research Team and support the aim of delivering on our vision to be recognised as a centre of excellence for practice-based research and development that helps make life better.

Main duties of the job
  • Communicating effectively with a wide range of people including CRN colleagues, external research teams, Universities, Managers and members of the public, ensuring at all times that a professional approach is presented.
  • Transferring internal and external calls, faxes, mail and emails and taking messages, ensuring that all issues are actioned or passed on and followed up in a timely manner.
  • Actively participating in team meetings and discussions with colleagues and managers to make constructive suggestions as to how research could be improved within own work area, and implementing such changes with guidance from line manager
  • Ensuring that all research department spreadsheets and Information Systems are accurate and are kept up to date. This includes data entry and retrieval of research participant information.
  • Prioritise own workload, organising work to meet priorities and highlighting to appropriate colleagues when potential problems may occur
  • Keep all files, systems, and paperwork up to date in line with departmental procedures, highlighting any difficulties or potential issues to line manager
  • Carrying out general administrative tasks for the department to agreed standards and timescales, e.g. photocopying, sending out correspondence and documents, etc
  • Undertake other support functions as requested by the Head of Research and Development and/or the Senior Research Governance Administrator.

Detailed job description and main responsibilities
  • Communicating effectively with a wide range of people including CRN colleagues, external research teams, Universities, Managers and members of the public, ensuring at all times that a professional approach is presented.
  • Transferring internal and external calls, faxes, mail and emails and taking messages, ensuring that all issues are actioned or passed on and followed up in a timely manner.
  • Using all Microsoft office applications such as Microsoft Word for word processing, Excel for data entry.
  • Actively participating in team meetings and discussions with colleagues and managers to make constructive suggestions as to how research could be improved within own work area, and implementing such changes with guidance from line manager
  • As far as possible within own role, ensure a professional, proactive service is provided to customers, including helping as far as possible with the absence of colleagues to deal with enquiries and avoid potential problems
  • Ensuring that all research department spreadsheets and Information Systems are accurate and are kept up to date. This includes data entry and retrieval of research participant information.
  • Prioritise own workload, organising work to meet priorities and highlighting to appropriate colleagues when potential problems may occur
  • Keep all files, systems, and paperwork up to date in line with departmental procedures, highlighting any difficulties or potential issues to line manager
  • Ensure all paperwork is filed or shredded promptly and securely
  • Carrying out general administrative tasks for the department to agreed standards and timescales, e.g. photocopying, sending out correspondence and documents, etc
  • Order office stationary as necessary
  • Undertake other support functions as requested by the Head of Research and Development and/or the Senior Research Governance Administrator.
