Job summary

University Hospitals of Derby and Burton NHS Foundation Trust is inviting applications for a part-time Support Medical Secretary in our Renal Medical Secretary team at Royal Derby Hospital. You will assist clinicians and provide efficient medical administration, with flexible support across teams.

The role develops into a secretarial position with training and experience in NHS administrative processes, prioritising workload and maintaining accurate records.

Qualifications

  • Typing/keyboard IT skills expected with ability to produce accurate documents.
  • Experience in general administrative procedures and office software.
  • Ability to work in a renal medical administration environment.

Responsibilities

  • Typing and despatch of clinical correspondence within quality standards.
  • Effective liaison with wards, departments, patients and care providers.
  • Assist in upkeep of departmental clinical admin information and filing.
  • Understand RTT 18-week process and Trust policies.
  • Maintain case notes and accurate filing.
  • Book and arrange meetings; provide cover to other areas as required.
  • Answer phone, take messages and handle queries.

We are looking for a team player who we can develop into a Support Medical Secretary role within our Renal Medical Secretary team to to help support a teams of clinicians and provide an efficient Medical Administration service. You will be required to work flexibly with or alongside other medical secretarial staff, consultants and their teams.

Main duties of the job

Responsibilities include:

  • Typing and despatch of clinical correspondence relating to NHS medical patients within the quality standards and time limits as specified.
  • Effective liaison with the relevant wards and departments within the hospital and with patients and other health care providers associated with the Consultant, his/her team to ensure a prompt and effective communication system.
  • Assist in the upkeep of the departmental clinical admin information and general filing correspondence.
  • Training will be given to ensure your understanding of the 18-week RTT process and a knowledge of the Trust Patient Access Policy and an agreement to adhered to these policies according to National Trust Guidelines, Waiting list management and 18 weeks guideline.
  • Responsible for the regular case note maintenance and accurate filing.
  • Books and arranges meetings when required.
  • To provide support and cover to other areas to the Business Unit/Division and to undertake other duties as requested.
  • Answer the telephone and take messages and deal with queries as required.
