Job summary

Vitabiotics in London, England is seeking a detail-focused Regulatory Technologist to join our quality control team. Reporting to the Regulatory Manager, you will create and maintain product dossiers, prepare regulatory submissions, and coordinate renewals to ensure ongoing market compliance.

You will review artwork and labels for compliance, support lifecycle changes, audits, and cross-functional projects with Marketing, Packaging and Product Development.

Qualifications

  • Degree in Regulatory Affairs, Food Science, Nutrition, Pharmaceutical Sciences, Chemistry, Life Sciences, or related discipline.
  • Experience preparing and maintaining technical documentation and product dossiers.
  • Experience reviewing product labelling and artwork for regulatory compliance.
  • Knowledge of UK, EU, and international regulations relating to food supplements, cosmetics and consumer healthcare.

Responsibilities

  • Create, compile, and maintain regulatory dossiers and technical files.
  • Prepare and submit product notifications, registrations, and regulatory submissions.
  • Review and approve product artwork, labels, packaging for regulatory compliance.
  • Support product lifecycle changes, risk assessments and continuous improvement activities.
  • Coordinate submission activities with regulatory authorities, customers and external consultants.

Job title: Regulatory Technologist (permanent, full-time)

Location: North West London, NW2 7HF

Hours: Core working hours are 9:30am to 5:00pm, 40 hours per week, worked over five days, Monday to Friday.

Hybrid: 3 days in office, 2 days working from home

As part of our commitment to innovation and development, we are looking for a detail-focused and technically minded Regulatory Technologist to join our quality control team. Reporting to the Regulatory Manager, the role will be responsible for the creation and maintenance of product dossiers, preparation and submission of regulatory applications, coordination of product renewals, and review and approval of product artwork to ensure compliance with applicable legislation and company standards. The ideal candidate will have a strong understanding of food supplements, nutrition or health and wellbeing regulations, excellent attention to detail and the ability to translate complex regulatory requirements into practical, commercially focused solutions.

Responsibilities will include…
Regulatory Compliance
  • Support the regulatory compliance of food supplements, nutraceuticals, cosmetics, and consumer healthcare products.
  • Monitor and interpret relevant UK, EU, and international regulatory requirements.
  • Provide regulatory guidance to internal stakeholders on product composition, claims, labelling, and compliance requirements.
  • Support regulatory risk assessments and compliance reviews for new and existing products.
  • Create, compile, and maintain regulatory dossiers and technical files for new and existing products.
  • Ensure all supporting documentation is accurate, complete, and maintained in accordance with company procedures.
  • Obtain and review technical documentation from suppliers and manufacturers, including specifications, certificates, safety data, and supporting evidence.
  • Maintain regulatory databases and document management systems.
Regulatory Submissions & Renewals
  • Prepare and submit product notifications, registrations, and regulatory submissions as required.
  • Manage product renewals and updates to ensure ongoing market compliance.
  • Coordinate submission activities with regulatory authorities, customers, distributors, and external consultants where applicable.
  • Monitor submission timelines and ensure actions are completed within required deadlines.
  • Maintain records of regulatory approvals and submission statuses.
Artwork & Labelling Approval
  • Review and approve product artwork, labels, packaging, and promotional materials for regulatory compliance.
  • Ensure mandatory labelling requirements are correctly applied and maintained.
  • Verify product claims, ingredient declarations, warnings, instructions for use, and marketing statements.
  • Support artwork change control and approval processes.
  • Work closely with Marketing, Packaging, and Product Development teams during new product launches and product updates.
Product Lifecycle Management
  • Support regulatory assessments for formulation, ingredient, supplier, packaging, and manufacturing changes.
  • Maintain compliance throughout the product lifecycle.
  • Participate in product change control, risk assessment, and continuous improvement activities.
  • Support responses to regulatory, customer, supplier, and internal technical queries.
Audit & Quality Support
  • Support internal, customer, and regulatory audits.
  • Assist with the preparation and maintenance of regulatory documentation during inspections.
  • Ensure regulatory records are accurate, current, and audit-ready.
  • Support CAPA, deviation, and change control activities as required.
Shipping & Distribution Compliance
  • Ensure products meet applicable regulatory requirements for transportation, import, export, and distribution across target markets.
  • Review and maintain documentation required for the safe and compliant shipment of products, including Safety Data Sheets (SDS), transport classifications, declarations, and supporting regulatory documentation.
  • Liaise with Logistics, Supply Chain, suppliers, freight partners, and regulatory authorities to ensure products can be shipped in accordance with relevant regulations.
  • Support classification of products for road, sea, air, and courier transportation where applicable.
  • Assess the impact of formulation, packaging, and artwork changes on shipping and distribution requirements.
  • Maintain awareness of changing transportation, customs, and regulatory requirements affecting product distribution.
  • Provide regulatory guidance to internal teams on market-specific shipping restrictions, documentation requirements, and product registrations required for export.
Requirements
  • Degree in Regulatory Affairs, Food Science, Nutrition, Pharmaceutical Sciences, Chemistry, Life Sciences, or a related discipline.
  • Experience working within a regulatory, technical, quality, or compliance role.
  • Experience preparing and maintaining technical documentation and product dossiers.
  • Experience reviewing product labelling and artwork for compliance.
  • Experience working within food supplements, nutraceuticals, cosmetics, consumer healthcare, pharmaceutical, or regulated industries.
  • Understanding of regulatory requirements relating to product claims, labelling, and ingredients.
  • Experience managing regulatory submissions and product notifications.
  • Experience supporting product registrations and renewals.
  • Knowledge of UK, EU, and international regulations relating to food supplements and cosmetics.
  • Experience working with external manufacturers and suppliers.
  • Experience supporting international product registrations and market access activities.
  • Knowledge of shipping and transport regulations applicable to food supplements, nutraceuticals, cosmetics, and consumer healthcare products.
  • Experience working with Safety Data Sheets (SDS), customs documentation, and export compliance requirements.
  • Understanding of import/export regulations and global product distribution requirements.
