Job summary

Putteridge High School is seeking a Receptionist/Administrator to provide front desk and clerical support. The role covers a broad range of admin tasks within the school's reception, including signing in visitors, handling mail, and supporting teaching staff with pupil records and appointments.

The post offers full training, a supportive environment, and safeguarding commitments. The successful candidate will work 37 hours per week, 39 weeks per year, from 8am to 4pm, with a fixed-term maternity

Qualifications

  • Experience in reception or admin roles preferred.
  • Ability to handle enquiries with professionalism.

Responsibilities

  • Maintain and implement processes and systems within reception.
  • Operate the school’s telephone system and route calls.
  • First point of contact for visitors; sign-in logs; issue visitor badges.
  • Deal with general administrative emails.
  • Operate the security system and liaise with staff on duty.
  • Manage incoming/outgoing post and franking.
  • Assist teaching staff with pupil records, admissions, appointments and contacting parents.
  • Word-process, filing and general clerical duties.
  • Respond to queries from students, parents and colleagues; provide references.
  • Provide cover for the admin office and medical room; undertake related duties.
  • Assist with internal and external examinations.
  • Any other ad hoc duties requested by line manager.
  • Support safeguarding commitments.

    Contract Type: Fixed Term - Maternity Cover

    Hours of work: 37 hours per week / 39 weeks per year (8am - 4pm)

    Salary: L3 points 6-8

    Overview of the job:

    Putteridge High School is a rapidly growing school. We are at an exciting stage in our development and we are looking for a Receptionist / Administrator to provide secretarial and clerical duties which support the provision of high quality administrative services to the School.

    Purpose of the post:

    Maintain and implement the processes and systems within reception that underpin the school’s administration

    Operate the school’s telephone system, dealing with general enquiries and routing calls as appropriate

    Serve as the first point of contact for individuals visiting the school for any reason, maintaining appropriate sign-in logs and issuing visitor badges as required

    Deal with all general administrative emails and distribute messages as appropriate

    Operate the security system and liaise with Facilities and Premises staff and senior staff on duty to deal with emergencies and other incidents, contacting parents as required

    Open and distribute incoming post, assist staff with out-going post and maintain and balance the postage sheet for out-going post, including the use of the franking machine

    Undertake tasks that support Assessment, Recording and Reporting and Data to include assisting teaching staff with pupil records, admissions, arranging appointments and contacting parents as required

    Assist teaching staff by word-processing, filing and general clerical duties as required

    Respond to queries from students, parents and colleagues as appropriate, to include providing references for former pupils

    Provide cover for the administrative office and the medical room as required and undertake related duties as appropriate

    Assist with school internal and external examinations if required

    Any other ad hoc duties requested by the line manager.
