Administrator/ Receptionist
Preston
Contract – Temporary (one month)

£12.60 (per hour)
Role:
We’re currently recruiting for a temporary Administrator/Receptionist to join a well-established organisation in the employability sector. This is a front-of-house role involving reception duties, general administration, and coordination tasks. The successful candidate will provide a warm, professional welcome to all visitors and support the team with efficient day-to-day operations

Duties:

  • Gather and record customer information accurately in line with contract requirements, using internal data systems within agreed timescales.
  • Manage and update advisor diaries, booking customer appointments as referrals are received.
  • Support the Service Manager by ensuring timely contact with referrals and helping maintain advisor caseloads.
  • Keep the office environment tidy and organised, manage supplies, handle incoming mail, answer calls, and take clear messages.
  • Work to set daily, weekly, and monthly targets and meet tight deadlines.
  • Handle petty cash securely, issue funds to customers, and carry out regular reconciliations.
  • Process payments to contractors and customers by preparing the necessary paperwork.
  • Raise purchase orders and payments using internal finance systems.
  • Liaise with the finance team to ensure smooth cash flow and accurate reporting.

Key Skills:

  • Confident using Excel, with the ability to produce and share reports.
  • Strong customer service skills, with a friendly and approachable manner.
  • Able to manage multiple tasks efficiently in a busy setting.
  • Reliable and deadline-focused, with strong attention to detail.
  • Excellent communicator, both face-to-face and over the phone.
  • Experience with basic finance tasks, including raising purchase orders and managing petty cash.
  • Comfortable dealing with a wide range of people, including those who may be vulnerable or facing challenges.
