Overview

Heathfielde is looking for a Receptionist/Admin for its busy GP Practice. This part-time role is 25-30 hours per week, Monday to Friday. Training will be provided. The successful candidate should be enthusiastic, hardworking, organized, self-motivated, and an excellent communicator. Flexibility to work morning and evening shifts (6-hour shifts between 8:00 and 18:30) is required. Only short-listed candidates will be contacted.

About Us

Our existing team is friendly and cohesive with high levels of experience. The practice team includes 5 GPs, a practice nurse, 2 HCAs, 2 clinical pharmacists, a social prescriber, a practice manager, admin and reception staff.

Hours: Part time

Contract: Permanent (subject to satisfactory probation period)

Responsibilities
  • Operate the computerised appointment system in accordance with Access protocols. Receive and book in patients, monitor the patient flow, make emergency appointments and draw to the doctors notice any patients who might require immediate attention.
  • Provide and receive information face to face, over the telephone, in writing or by electronic mediums from patients, doctors, practice nurse, colleagues, managers, other external contacts (e.g., pharmacist, secondary care, nursing homes).
  • Advise patients of relevant fees for non-NHS services. Accept payment and issue receipts for non NHS income.
  • Open, sort and distribute internal and external post.
  • Liaise with consultants' secretaries regarding patient referral queries and expedite appointments/tests as required.
  • Ensure continuity by passing on relevant messages/details during duty handovers; scan documents/letters to the computer system.
  • Participate in staff meetings and in-house or external training as appropriate.
  • Maintain neat and tidy reception and waiting areas.
  • Cover for colleagues as required and file patient records correctly.
  • Check and update patients’ addresses, telephone numbers, etc., on manual and computerised records.
  • Chaperone GP if required.
  • Data protection: follow security procedures to protect confidential information.
