Job summary

Capita HAAS is seeking a part-time receptionist to be the first point of contact for visitors and staff at the Derby venue. You will manage appointments, assist with venue security, and handle admin tasks across CRM/PRS and H&S record-keeping, ensuring a welcoming and efficient experience.

You should have prior receptionist and customer service experience, be IT-literate with MS Teams, Outlook and CRM systems, and possess strong communication and organisational skills.

  • Direct claimants to locations and seating areas.
  • Admin duties: data entry, CRM/PRS, document uploads to CASPER.
  • Maintain office supplies and ensure a professional venue.
  • Provide information to claimants and staff; ensure customer satisfaction.
  • Offer directions over the phone and know local transport routes.
  • Contribute to strategic management and development of the business.

Job description

Our venue Receptionist’s play a very important part in the team and the day to day running of the business, being the first and last point of contact for all our visitors and staff. Your role will include a wide range of responsibilities from meeting and greeting claimant’s and their companions who come into venue for their assessment, managing the security of the venue, exchanging verbal and written information and therefore you will put claimant’s wellbeing at the heart of everything you do. Capita HAAS pride ourselves on the warmth and support we provide and promote a high standard of service at all times. Please note, this is part time office-based role, working 22.5 hours per week (open to discuss working patterns). It is anticipated that the Receptionist will spend 70% of time greeting people. Remaining time will be spent producing documentation, rebooking appointments, stationary orders, archiving, training, updating systems and venue facilities management including health and safety.

What you’ll be doing:
  • Meet and greet visitors in a warm and friendly manner.
  • Manage daily appointment using CRM/PRS and re-scheduling as and when required.
  • Open and lock venue and ensure security procedures are followed.
  • Door Entry Management – Identify and validate all attendees.
  • Direct claimants to where they need to go/seat them outside the consultation room.
  • Day to day organisational and administrative duties including data entry, and maintenance of CRM/PRS systems, creating, completing and uploading documents to H&S System CASPER as a H&S site Champion.
  • Maintain business office supplies by keeping an up-to-date record of stationary surplus.
  • Ensuring the venue is always kept to a professional standard Providing relevant information to claimants and supporting staff and claimants whilst in venue.
  • Maintaining a professional relationship with claimants and always ensuring customer satisfaction.
  • Ensuring that all visitors feel welcome and comfortable throughout their experience in clinic.
  • Provide directions to claimants and their families over the telephone therefore a good knowledge and understating of local bus routes, train stations, taxis and parking is very important.
  • Contribute to the Strategic Management and Development of the business
What we’re looking for:
  • Experience as a receptionist and customer service (customer facing).
  • Have good planning and organisational skills
  • Must be IT literate, MS teams’ word, outlook and CRM systems
  • Experience of conflict resolution and de-escalation techniques in a face-to-face environment.
  • Ability to communicate clearly and concisely both verbally and written.
  • Customer service ethos and be of a friendly disposition.
  • Initiating contact with claimants, their companions and all visitors and responding to requests.
  • Able to attend all training and development courses.
  • Be attentive, polite and approachable at all times.
  • Have excellent time management skills and be punctuate.
  • Be willing and able to work without supervision.
  • Be a good listener, understanding and helpful and provide a professional service.
About HAAS

The Health Assessment Advisory Service (HAAS) arranges and carries out assessments for the Department for Work and Pensions (DWP) and the Department for Communities (DfC). The purpose of the assessment is to understand how an illness or disability affects a person’s daily life. After the assessment, the DWP/DfC makes the decision as to whether the individual will receive any benefits. The Health Assessment Advisory Service is delivered on behalf of the DWP & DfC by Capita
