Gi Group is recruiting for a Clerical/Administration Assistant in Loughborough. The role supports the logistics team with data entry, dispatch coordination, and records management.

You will input loads into the TMS, liaise with external carriers, print labels, and maintain stock logs. The position offers Monday–Friday daytime hours with salary rates shown and holiday benefits after probation.

Qualifications

  • 1–2 years of administrative experience in logistics or manufacturing.
  • Proficient in Word, Excel, Outlook; experience with WMS.
  • Strong verbal and written communication for liaison with drivers.

Responsibilities

  • Input new jobs and loads into the transport management system.
  • Arrange freight transport with partner carriers to schedule and confirm shipments.
  • Generate and print dispatch and shipping labels for outgoing cargo.
  • Maintain inbound and outbound logs in real time as stock moves.
  • Review and ensure paperwork and transport notes comply with regulations.
  • Provide admin and logistic support during stock intake and delivery verification.
  • Update the Warehouse Management System (WMS) with stock receipts and movements.
  • Greet drivers, verify paperwork, assign loading bays, and log arrivals/departures.

Clerical/Administration Assistant- Loughborough

Our client, a leading partner for contract packing services in the UK, is looking to expand their team with dedicated and motivated clerical/Administration assistant at their Loughborough location.

Shift Pattern

Monday to Friday, 07:30 AM - 03:30 PM

Pay Rates

£12.71 per hour - 17.16 per hour

Paid holiday on your birthday after completing 12 weeks of continuous employment

Responsible For
  • Input new jobs and planned loads accurately into the transport management system to ensure optimal dispatch planning.
  • Liaise professionally with external partner companies and third-party carriers to arrange, schedule, and confirm freight transport.
  • Generate and print all relevant dispatch and shipping labels, ensuring they are attached correctly to outgoing cargo.
  • Maintain and complete inbound and outbound logs in real time as physical stock movements occur across the facility.
  • Review and ensure all operational paperwork, customs documentation, and transport notes are completed properly and remain compliant with regulations.
  • Provide administrative and logistical support during the stock intake process, assisting with delivery verification and physical receipting.
  • Update the Warehouse Management System (WMS) with real-time tracking of stock receipts, movements, and dispatches.
  • Greet incoming transport drivers, verify their paperwork, assign loading bays, and log arrival/departure times.
Required Skills and Qualifications
  • Minimum of 1-2 years of administrative experience, ideally within a logistics, supply chain, or manufacturing environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and prior experience operating a Warehouse Management System (WMS).
  • Excellent verbal and written communication skills for professional liaison with drivers, clients, and external transport partners.
  • High level of accuracy in data entry and a sharp eye for identifying documentation discrepancies.
  • Ability to multitask, stay organised, and work effectively under pressure in a fast-paced environment.
Working Conditions
  • Based primarily within a designated warehouse office environment.
  • Occasional presence on the active warehouse floor may be required to coordinate with team leaders or verify stock.
