Job summary

THG Nutrition is seeking a QMS Coordinator to administer the group's eQMS across seven sites, ensuring robust document control, complaint reporting, and continuous audit readiness. You will support central and site technical teams with system maintenance and training.

The role requires QA/tech admin experience, proficiency with eQMS and Excel, and strong communication skills to train site users and manage multiple tracking systems effectively.

Qualifications

• Prior QA or technical administration experience, preferably within food manufacturing or FMCG.
• Proficiency with digital platforms, databases, or eQMS, and strong Excel skills.
• Excellent communication and training ability for site users; organised with multi-tracking systems.

Responsibilities

• Administer the group’s eQMS across seven sites including document control and audit readiness.
• Manage user accounts, form configurations, approval paths, and general system maintenance.
• Deliver user training on core eQMS modules and assist site teams with system troubleshooting.
• Oversee upload, review, and version control of group-wide policies and procedures.
• Coordinate complaint and incident reporting and monitor complaint portals.
• Support CAPA, NCR, and SCAR tracking and risk escalation.

The QMS Coordinator administers the group’s electronic Quality Management System (eQMS) across seven sites. This role is part of out centra technical team and is a chance to ensure robust document control, accurate complaint reporting, and continuous audit readiness by supporting both central functions and site technical teams.

• eQMS & Document Control
• System Administration: Manage user accounts, form configurations, approval paths, and general system maintenance.
• Training & Support: Deliver user training on core eQMS modules and assist site teams with system troubleshooting.
• Document Management: Oversee the upload, review, and version control of group-wide policies and technical procedures.
• Complaint & Incident Reporting
• Portal & Complaint Administration: Monitor external customer/retailer complaint portals and coordinate fulfillment-related investigations.
• Data & Reporting: Cleanse complaint data, perform trend analyses, and generate regular quality reports.
• Investigation Support: Assist central and site teams with root-cause analysis (RCA) investigations.
• Audit & Site Compliance Support
• Audit & Compliance Coordination: Maintain the group audit calendar, track supplier certification statuses, and maintain organised audit folders.
• CAPA & Risk Tracking: Monitor outstanding Non-Conformance Reports (NCR) and Supplier Corrective Action Requests (SCAR), escalating risks as necessary.
• Operational & Meeting Support: Support sites during low-resource periods and coordinate weekly technical update meetings.

What skills and experience do I need for this role?

• Experience: Prior experience in Quality Assurance (QA) or Technical Administration, preferably within food manufacturing or FMCG.
• Technical Skills: Proficiency with digital platforms, databases, or electronic Quality Management Systems (eQMS), alongside strong Microsoft Excel skills.
• Communication: Strong communication skills with the ability to train site users and professionally handle customer inquiries.
• Organisation: Excellent detail orientation with a proven ability to manage multiple tracking systems and timelines.
