Job Responsibilities
- Drafting and serving S20 notices for major works.
- Manage portfolio in accordance with RICS Codes of Practice, ARMA rules, and landlord and tenant legislation.
- Provide professional property management services for a portfolio of freehold/leasehold developments and individual properties on behalf of clients, developers, and Resident Management Companies. Proactively manage in accordance with management agreements, lease terms, and best practices.
- Respond to pre-assignment enquiries.
- Manage in relation to company targets of income and service delivery.
- Handle leaseholder enquiries related to the development.
- Respond to correspondence, emails, and calls from Directors, lessees, and tenants.
- Prepare and draft minutes for Board meetings for approval by Directors.
- Understand lease terms and communicate with lessees/tenants/letting agents regarding lease violations such as noise, pets, satellite dishes, etc.
- Address issues arising during property management to ensure smooth operation.
- Ensure properties operate efficiently.
BUDGETS & ACCOUNTS
- Prepare and issue draft budgets for approval using PMS computer system.
- Understand service charge and company accounts; explain them to Directors.
INSPECTIONS
- Arrange meetings and inspections for managed properties.
- Ensure contracts and annual inspections are in place.
- Conduct regular property inspections and address necessary works.
- Maintain up-to-date Health & Safety, Fire Risk Assessments, Asbestos Surveys, Legionnaires Risk Assessments, and Electrical Reports.
INSURANCE
- Ensure properties are insured, handle claims, renewals, and inquiries.
- Coordinate with Loss Adjusters and obtain quotes for remedial works and emergency repairs.
- Coordinate revaluation of blocks for insurance purposes every three years.
MAINTENANCE
- Contact contractors for works, issue work orders, and seek authorizations as needed.
- Monitor contractor performance and complete jobs, updating PMS accordingly.
- Prepare specifications and tenders for contracts such as cleaning and gardening.
- Conduct site inspections and keep Directors informed.
- Ensure contracts are entered and updated on the system.
- Inform lessees and tenants about upcoming works.
- Monitor contractor performance and work with surveyors on major works.
SERVICE CHARGES
- Monitor expenditure and ensure funds are available for repairs and works.
- Chase arrears of service charges and ground rents, involving solicitors when necessary.
GENERAL
- Check, code, and authorize invoices.
- Maintain filing systems.
- Perform additional duties as assigned.
PERSONAL REQUIREMENTS
- MIRPM/MTPI qualification and relevant experience.
- Understanding of Residential Property Management and legislation.
- Strong interpersonal and communication skills.
- Customer-focused with good literacy and numeracy skills.
- Diplomatic and able to work independently.
- Ability to prioritize and work under pressure.
- Team-oriented attitude.
