Job description

Happy Days UK is a charity working with people experiencing homelessness, addiction, poverty and complex needs across Calderdale.

We take a trauma-informed, person-centred and harm-reduction approach, recognising that people may face multiple and overlapping barriers to stability and independence.

Role Purpose

The Property & Housing Coordinator will support the effective day-to-day management and maintenance of Happy Days’ residential properties.

The role will coordinate property inspections, repairs, maintenance, contractors and property-related administration, ensuring issues are identified, reported, progressed and recorded appropriately.

The postholder will work closely with the Housing and Health & Safety teams and will act as a key day-to-day contact for IronOak Homes and Calderdale Council (CMBC) on routine property and housing-related queries.

The role will also support the effective management of void properties, with a particular focus on forward planning and minimising void periods.

Our Ideal Candidate
  • Experience in property, housing, facilities, maintenance, administration or a similar environment, or transferable experience and willingness to learn.
  • Ability to take a proactive approach, anticipate property and maintenance requirements and follow actions through to completion
  • Highly organised and methodical, with excellent attention to detail.
  • Strong commitment to following processes and ensuring actions are completed.
  • Good IT skills and confidence using electronic systems and Microsoft Office.
  • Ability to manage multiple tasks and deadlines.
  • Good communication and relationship-building skills.
  • Ability to work independently, use initiative and recognise when issues need to be escalated.
  • Ability to work across multiple sites.
  • Ability to work professionally and respectfully with people experiencing complex needs.
  • Full UK driving licence and access to a vehicle or ability to travel effectively between sites.
  • Experience of property inspections, repairs or maintenance coordination.
  • Experience working with contractors.
  • Knowledge of property or Health & Safety compliance.
  • Experience within supported housing, homelessness or residential accommodation.
  • Experience using property, housing, compliance or maintenance systems.
  • Relevant property, housing, facilities or Health & Safety training.
Responsibilities and Duties

Property Inspections & Maintenance

  • Coordinate scheduled inspections of flats, bedsits, communal areas and other accommodation.
  • Work with Housing Officers to ensure inspections are completed within the required timescales.
  • Monitor actions arising from inspections and ensure repairs, maintenance issues or other concerns are appropriately recorded and progressed.
  • Identify and report property and Health & Safety concerns to the appropriate manager.
  • Manage the property maintenance log within CDP, ensuring repairs and actions are recorded, progressed and closed when completed
  • Book and coordinate contractors and arrange access to properties.
  • Monitor outstanding works, follow up delays and ensure completed works are recorded.
  • Support the coordination of planned maintenance, repairs and refurbishment works across Happy Days properties.
  • Carry out key audits and maintain appropriate property records.
  • Act as a day-to-day contact for routine property-related queries from IronOak Homes and CMBC.
  • Respond to requests for information such as occupancy, tenancy dates, property details, repairs and maintenance updates.
  • Obtain and provide requested documents certificates, and property information.
  • Follow up outstanding requests and maintain clear records.
  • Refer queries relating to individual residents or detailed tenancy matters to the relevant Housing Officer.
  • Liaise with IronOak Homes regarding property repairs, maintenance, access and planned works.
  • Provide or obtain information required for routine reporting and monitoring, including running existing reports where requested.
  • Escalate complex or unresolved matters to the Head of Housing Services or relevant manager.

Void Management

  • Work proactively with Housing Officers to identify upcoming vacancies and plan works in advance.
  • Arrange contractors and required maintenance as early as possible to minimise void periods.
  • Coordinate repairs, cleaning, maintenance and other works required to prepare properties for re-let.
  • Plan works efficiently and coordinate multiple contractors where possible.
  • Monitor progress and promptly chase outstanding works or delays.
  • Support the timely preparation of properties for new residents.
  • Keep relevant staff informed of progress and any issues affecting the expected turnaround.

Compliance Support

  • Support the Health & Safety Manager with the administration and coordination of property compliance requirements.
  • Monitor upcoming inspection, servicing and testing dates and arrange contractors where required.
  • Obtain and record relevant certificates and documentation.
  • Maintain accurate compliance information within CDP, BrightSafe and other relevant systems.
  • Report overdue items, gaps or concerns to the Health & Safety Manager.

Finance & Administration

  • Provide property and occupancy information to the Finance team when required.
  • Assist with EHB queries, including tenancy, occupancy and relevant dates.
  • Assist with council tax queries relating to occupancy, tenancy dates and void periods.
  • Maintain accurate property records and provide information to Housing, Finance, Health & Safety and external partners as required.
Administration and Organisational Responsibilities

General Responsibilities

  • Work effectively across Happy Days sites and accommodation.
  • Plan and prioritise workload across inspections, repairs, contractors, voids and administration.
  • Communicate professionally with residents, colleagues, contractors and partner organisations.
  • Work in a trauma-informed and person-centred manner when dealing with residents.
  • Follow Happy Days policies, procedures and financial processes.
  • Participate in supervision, mandatory training and relevant professional development.
  • Maintain confidentiality and undertake other reasonable duties consistent with the role.

Appointment will be subject to:

  • Satisfactory references.
  • Right to work in the UK.
  • Appropriate DBS clearance, where required for the duties of the role.
  • Evidence of a full UK driving licence and appropriate business insurance where required.
  • Satisfactory completion of all other pre-employment checks required by Happy Days UK.
