Job description

The Team & Focus of the Role

We’re looking for a proactive Property & Compliance Administrator to join our Rural Property Management team, supporting the management of a varied portfolio of agricultural land, residential homes and commercial properties across Derbyshire.

This is a varied, hands‑on role with a strong compliance focus. You’ll take ownership of maintaining accurate property and compliance records, coordinating documentation and helping the Estate Management team ensure client portfolios remain organised, up to date and well managed. Alongside this, you’ll support mailshots, document management, invoicing and wider administration.

You don’t need to come from a property background, but you will bring strong administration skills, excellent attention to detail and the confidence to build positive relationships. You’ll work with estate owners, tenants, suppliers and contractors, as well as colleagues across the wider business, so clear communication and a dependable, organised approach will be key.

This is a permanent, full-time role working 37.5 hours per week. We’re happy to discuss flexibility around working hours and days, and we offer a hybrid working policy. The role is based from our Ashby office, with the majority of your time spent working on client sites across Derbyshire.

In return, beyond your base salary you will be included in:

  • A discretionary bonus scheme
  • A generous holiday scheme which commences at 25 days with a sliding scale up to 30 days plus an additional day for your birthday, and additional days to cover the festive period!
  • Enhanced maternity, paternity, adoption and shared parental leave
  • An online money saving portal
  • Death in Service cover, alongside access to an Employee Assistance Programme which includes health appointments for you and your family
  • Volunteering Leave equating to 2 days per year (pro rata if you’re part‑time)
What you’ll be doing:
  • Maintaining accurate, up‑to‑date compliance records across client property portfolios.
  • Entering and monitoring information across property and compliance management systems, helping the team track requirements, actions and key dates.
  • Coordinating compliance documentation from tenants, suppliers and contractors, following up where information is outstanding.
  • Acting as a reliable point of contact for clients and providing clear updates across their portfolios.
  • Arranging planned and ad hoc maintenance for residential, commercial and agricultural properties.
  • Preparing property inspection communications and updating systems following inspections and actions.
  • Processing invoices and completing accurate data entry.
  • Managing documents and files received from third parties, ensuring information is stored accurately and can be easily accessed.
What we’re looking for:
  • Previous administration experience, with a structured and organised approach to managing your workload.
  • A strong eye for detail and an understanding of why accurate records, clear audit trails and timely follow‑up matter.
  • Experience using, or a willingness to learn, property and compliance management systems such as Vantify
  • The ability to prioritise varied tasks, work independently and contribute as part of a supportive team.
  • Confidence using Word, Excel, SharePoint and Microsoft Teams.
  • A proactive, professional communication style and the ability to build positive relationships with clients, contractors and internal stakeholders.
