£22,500 - £23,500 per annum

So, who are we looking for?

As a Property Assistant, you will support the smooth management of a portfolio of properties.

Working alongside your colleagues and Property Managers, you will develop a detailed knowledge of each property and showcase your administrative skills, customer service excellence, and your ability to create strong rapport and lasting connections with our residents and clients.

You will also handle customer requirements as their first point of contact, including answering general inquiries, raising requests for work, providing key documentation, and managing communications via the residents’ portal.

And what will you be doing?

No two days are the same, but here is a flavour of some typical tasks. If you think you have what it takes, we encourage you to apply:

  • Deliver exceptional customer service at all times
  • Answer calls – first-time resolution where possible
  • Confidently answer and resolve requests such as fob requests, statement requests, access details, account balance queries, locate contracts, bank details, direct to correct department, portal access, and provide maintenance updates
  • Manage and respond to estate inbox / customer service queue in Dwellant
  • Manage voicemail inbox
  • Chase open maintenance jobs with relevant contractors
  • Issue letters via email and post
  • Handle returned post
  • Raise PO’s where necessary
  • Assist with general running of the department as instructed by the Senior PAs

Additionally, confidently carry out the following:

  • Answer overflow calls – first-time resolution where possible
  • Work with and have regular meetings with the Property Manager responsible for their portfolio
  • Resolve and respond to complex queries on their portfolio in collaboration with the Property Manager
  • Site inspection actions
  • Ensure contracts are in place – find tenders, new contractors, and ensure required documents are provided
  • Raise quote requests on Dwellant and chase responses
  • Keep Dwellant up to date with uploaded documents (insurance certificates, etc.)
  • Check OOH reports for sites and raise PO’s
  • Handle breach of lease letters and processes
  • Respond promptly to incoming calls and emails (inside SLA) and provide regular feedback on outstanding issues
  • Maintain knowledge of Service Charges
  • Deal with Insurance Claims
