A&E Fire & Security is looking for a Projects and Compliance Coordinator (Fire & Security) to join our friendly team. With the growth in the demand of Installation works we are now looking to recruit a Coordinator to add to our existing team.

We are based in Cheltenham, covering the South West, Midlands, South and London region of the UK. The company has been at the forefront of firefighting products and fire detection systems for over 55 years and continues to grow.

We are a local, family run and well-established company, founded in 1965 who have continued to provide full 24-hour, 365 days a year support to businesses throughout the Midlands, South West and South Wales.

With approximately 85 directly employed fire and security specialists, we have your needs covered. Whilst sizeable enough to successfully manage large contracts we are small enough to provide you with the personal touch that is sometimes lacking in the larger national companies.

• Full Time, Permanent, 39.5 hours per week, bonus scheme, with further opportunities for overtime available through call-outs and work outside normal working hours.

Purpose of the Role

To coordinate compliance and certification across fire, security and electrical works, and to keep every project moving cleanly from technical review through to completed handover pack. The role is the administrative and compliance backbone for the installations function — tracking certification, driving A&E’s NICEIC accreditation project, reviewing new projects at technical intake, and producing the fillable commissioning certificates the business runs on.

This role does not carry BAFE SP203-1, NSI or NICEIC technical sign-off authority. Fire and security certificates are issued and signed by the qualified Technical Manager (Fire) or Senior Technical Coordinator (Security) as applicable. Electrical work under NICEIC is signed off by the company’s NICEIC Qualified Supervisor, a separately nominated and qualified role. The Compliance and Projects Coordinator prepares, tracks, chases and assembles — the named technical authorities sign.

Key Responsibilities

NICEIC Accreditation Project

• Own the day-to-day project of bringing A&E to NICEIC Approved Contractor accreditation — gap analysis against scheme requirements, documentation, policies and procedures, and liaison with the NICEIC assessor through to first assessment.
• Build the ongoing compliance framework required to hold the accreditation once achieved — record-keeping, sample audit preparation, renewal documentation.
• Coordinate with the company’s nominated NICEIC Qualified Supervisor to ensure technical and administrative requirements are aligned; this role does not replace or act as the Qualified Supervisor.
• Maintain a live register of any subcontracted electricians used in the interim, and their own certification status, until in-house NICEIC capability is in place.

Technical Review of New Projects

• Carry out first-line technical review of new project packs as they come in from sales — checking scope, site survey notes and quote against what’s actually required to deliver a compliant installation.
• Flag scope gaps, missing information or technical inconsistencies back to the salesperson before the project is released to design and install.
• Confirm which certification route applies (BS 5839-1 / BAFE SP203-1 for fire; PD 6662 / NSI Codes of Practice for security; NICEIC where electrical works are involved) and set the project up accordingly in Uptick.

Certification and Documentation

• Design, build and maintain fillable PDF commissioning certificates for fire, security and electrical works — BS 5839-1, NSI and NICEIC-aligned formats — so engineers can complete and submit certificates digitally on site.
• Keep certificate templates current as scheme requirements (BAFE, NSI, NICEIC) are updated.
• Track every certificate through its lifecycle — issued, outstanding, signed, filed — and chase engineers and the relevant technical authority where certificates are overdue.

Project Coordination

• Set up new projects in Uptick and the internal project tracker — project number, file structure, document control.
• Build and label kit packs so engineers can collect everything needed from stores in one trip.
• Coordinate URN registration and ARC connection paperwork for monitored systems.
• Schedule site visits, witness tests and engineer briefings in coordination with the install team.
• Assemble the complete Project Handover Pack for every project — certificates, as-fitted drawings, device schedules, cause-and-effect matrices, logbooks and manufacturer documentation — once the relevant technical authority has signed off the technical content.
• Deliver Handover Packs to customers within 5 working days of project sign-off, uploaded to the Uptick client portal and printed where requested.
• Feed back to sales on recurring scope gaps identified at technical review stage.
• Stay current with BAFE, NSI and NICEIC scheme amendments relevant to certification and documentation requirements.

Skills and Experience Required

• Experience in a compliance, technical coordination or project administration role within fire, security or electrical/building services — minimum 2 years.
• Working knowledge of certification schemes relevant to the sector — BAFE SP203-1, NSI Codes of Practice and/or NICEIC — sufficient to review documentation for completeness and accuracy, not to design or sign it.
• Comfortable building and maintaining fillable PDF forms (Adobe Acrobat or equivalent).
• Highly organised, methodical and confident chasing multiple stakeholders — engineers, subcontractors, salespeople, external assessors — to keep documentation on schedule.
• IT-literate — Uptick, Outlook, Excel; comfortable picking up new systems.
• Direct experience taking a contractor through NICEIC Approved Contractor accreditation, or a comparable scheme (e.g. BAFE, NSI, Gas Safe, SafeContractor).
• Exposure to fire alarm or security system design documentation (device schedules, cause-and-effect, as-fitted drawings) sufficient to review for completeness.
• Experience in a family-run or SME technical services business.

Personal Attributes

• Methodical and detail-focused — missed or incorrect certification is a compliance and insurance exposure, not just paperwork.
• Confident pushing back on engineers, subcontractors or salespeople where documentation isn’t complete or a deadline is slipping.
• Comfortable running a formal accreditation project against external deadlines, not just day-to-day admin.
• Clear written communicator — much of this role is chasing people in writing and keeping a paper trail.

Performance Measures (First 12 Months)

• NICEIC Approved Contractor accreditation achieved, or a clear, on-track plan with assessment date confirmed if the scheme timeline runs beyond 12 months.
• 100% of new projects technically reviewed before release to design/install, with scope gaps flagged back to sales within 2 working days.
• Fillable PDF commissioning certificates live and in use across fire, security and electrical works within the first quarter.
• Project Handover Packs delivered to customers within 5 working days of sign-off — 100% compliance.
• Zero compliance findings against BAFE SP203-1 or NSI Silver audits attributable to documentation gaps within this role’s control.

Location

Head Office — Cheltenham, Gloucestershire, with occasional travel to the Bristol office and project sites within the working radius.
