Job summary

Boots UK is seeking a Project Specialist to support the People Transformation Programme across multiple workstreams. You will help ensure compliance, governance, and accurate information management, while working closely with the Programme Manager and Director.

You will develop project management skills, provide flexible support, and assist with ad hoc tasks to help the programme achieve its objectives and overall vision.

Responsibilities

  • Maintain up-to-date tracking of the programme and RAID logs, escalating updates as needed.
  • Minute meetings and produce outputs, chase actions, and keep workstreams moving.
  • Create and manage reporting schedules and dashboards with status updates from leads.
  • Compile data to prepare presentations and reports with timely delivery and quality.
  • Draft stakeholder updates and coordinate input for newsletters and leadership packs.
  • Schedule governance meetings and ensure content is prepared and signed off.

What you’ll be doing

As a Project Specialist, you will support projects and workstreams across the People Transformation Programme, ensuring compliance with defined processes and company policies. Working proactively with stakeholders across the business, you will help deliver projects on time, maintain effective governance, and ensure information is managed accurately with a strong attention to detail.

You will play an important role in the success of multiple projects that drive our People Transformation ambition. Working closely with the Programme Manager and Director, you will have the opportunity to develop your project management skills while providing flexible support across the programme, including ad hoc tasks as needed.

Key responsibilities
  • Maintain up-to-date tracking of the programme and relevant documents including RAID logs, ensuring key updates are captured and escalated to the PM where needed.
  • Minute meetings and produce meeting outputs/actions, proactively chasing and recording completion of actions across all workstreams to ensure progress is made at pace. Helping the PM avoid delays, remove blockers and keep projects on track.
  • Create and manage reporting schedules, collate status updates from workstream leads and help produce clear and concise summary dashboards and reports.
  • Compile and format data, to assist with the preparation of presentations and reports, ensuring all reports are completed on time and of quality.
  • Support stakeholder communication by drafting updates and coordinating input for programme newsletters, leadership packs and bespoke stakeholder updates.
  • Manage the scheduling of key governance meetings, making sure content is prepared in time and signed off.
  • Schedule and co-ordinate key meetings and workshops cross functionally, including booking rooms, making sure the correct attendees are invited, and agendas are in place.
  • Ensure robust version control and structured digital filing for all key programme documents, reports and presentations.
  • Proactively assist the team with ad hoc tasks as they arise and support ad hoc activities that support the programme team achieve its objectives and overall vision.

  • Great at building relationships - you will be collaborating with many stakeholders and functions at one time.
  • Numerical and analytical skills, with a keen eye for detail & data accuracy
  • Be proactive and able to work independently towards a common goal.
It would be great if you also have
  • Experience with HR software and tools.
  • Knowledge of employment law and HR best practices.
  • A relevant qualification in HR or project management.
