Job summary

Pegasus Concepts Ltd seeks an Internal Project Manager to lead the delivery of signage, digital print, interior branding and fit-out projects from brief to handover. You will start in areas of your strength and expand into others as needed.

Key responsibilities include planning, client liaison, production coordination and budget control, with a focus on multi-site healthcare and dental practice environments. Office-based role in the UK.

Qualifications

• Experience delivering signage, print, interiors or related environments.
• Strong organisational ability to manage several live projects.
• Proficient with MS 365 tools (Outlook/Teams/SharePoint).
• Excellent communication with clients, suppliers and internal teams.

Responsibilities

• Define each project's scope, budget, responsibilities and completion dates.
• Review client briefs, site surveys, drawings and specifications.
• Develop and maintain schedules covering design, approval, procurement, production, delivery and installation.
• Act as main point of contact for clients throughout project delivery.
• Coordinate with practice managers, client project teams, main contractors and other trades.
• Monitor project costs against approved estimates and budgets; provide invoicing records.
• Maintain project risk, safety and quality documentation and actions.
• Maintain organised project folders in SharePoint and use Outlook/Teams to communicate deadlines.

Job Description: Internal Project Manager

Reporting to: Managing Director

Location: Office based

Salary: Dependent on experience

Manage the successful delivery of signage, digital print, interior branding and fit-out projects, from initial client brief through to installation and final handover. Obviously this covers a wide range of knowledge so we would look to start you in the areas which you have experience in and develop your role further.

Key responsibilities of project planning and scheduling

• Establish each project's scope, budget, responsibilities and completion dates.
• Review client briefs, site surveys, drawings and specifications
• Develop and maintain project schedules covering design, approval, procurement, production, delivery and installation.

Client and stakeholder management

• Act as the main point of contact for clients throughout project delivery.
• Coordinate with practice managers, client project teams, main contractors and other trades.
• Agree installation arrangements, access requirements and working hours, particularly in operational dental practices and healthcare premises.

Design, production and installation coordination

• Ensure approved artwork, dimensions, specifications and drawings are available before production begins.
• Confirm that materials, equipment, labour and site arrangements are ready for installation.

Budget and commercial control

• Monitor project costs against approved estimates and budgets.
• Provide accurate completion information and supporting records for invoicing.

Risk, safety and quality

• Maintain a proportionate record of project risks, issues, owners and actions.
• Coordinate required site documentation, including risk assessments and method statements where applicable.

Information management and improvement

• Maintain organised project folders in SharePoint, including briefs, quotations, approved artwork, schedules, job sheets, photographs and handover records.
• Use Outlook, Teams and project records to communicate actions, deadlines and changes.
• Experience managing projects in at least one of the following areas - signage, print, interiors, shopfitting, construction or a related environment.
• Strong organisational skills and the ability to manage several live projects.
• Ability to interpret briefs, drawings, specifications and production requirements.
• Confident communication with clients, suppliers, contractors and internal teams..
• Competence with Microsoft 365, including Excel, Outlook, Teams and SharePoint.
• Experience working with dental, healthcare or multi-site clients.
• Knowledge of signage manufacture, print production and installation methods.
