Job Description

Are you highly organised, detail-focused, and confident managing the moving parts behind successful project delivery?

We’re looking for a Project Manager Administrator to join our PMO & Services Operations team. This is a fantastic opportunity for someone who enjoys bringing structure, accuracy, and operational control to a busy services environment.

In this role, you’ll play a key part in keeping our internal project operations running smoothly — from system set-up and resource coordination to forecasting, auditing, and invoicing. You’ll work closely with consultants, project teams, operations, and finance to ensure projects are accurately maintained behind the scenes and that all invoicing is issued correctly and on time.

If you enjoy working across systems, supporting project delivery, and making sure the details are right, we’d love to hear from you.

What you'll be doing

As Project Manager Administrator, you’ll support the smooth running of multiple non-client-facing projects and engagements from an operational and systems perspective.

Responsibilities
  • Setting up and maintaining projects in internal systems
  • Supporting resource booking, scheduling, and coordination
  • Tracking project budgets, purchase orders, invoices, and expenses where needed
  • Auditing and maintaining system data to ensure accuracy and cleanliness
  • Coordinating between SPP and Finance to support accurate invoicing
  • Working with project teams to ensure forecasts are current and accurate
  • Keeping project plans and timelines up to date, including baseline and actual timelines
  • Supporting governance by helping ensure project processes, templates, and reporting standards are followed
  • Carrying out charge analysis and helping maintain strong financial control across project activity
Qualifications

What we're looking for

  • Experience working with project financials, including reconciling revenue and expenses
  • Confidence using Google Workspace and Microsoft Office
  • Experience with Atlassian tools, including Jira Roadmaps and Confluence
  • Experience working with SPP and/or similar project or professional services systems
  • Strong verbal and written communication skills
  • Excellent attention to detail and the ability to keep data, systems, and reporting accurate
  • The ability to work independently while collaborating effectively with remote teams
  • A self-motivated, organised, and professional approach
  • Comfort working in a fast-paced, dynamic, and technical environment
  • A helpful, personable, and team-oriented attitude

It would be great if you also have:

  • An understanding of Project Management methodologies, such as Waterfall, PRINCE2, or Agile
  • Experience with the wider Atlassian toolset
  • Experience using NetSuite SPP or similar systems
