ROLE AND RESPONSIBILITIES

OVERALL ROLE

The project Coordinator (PC) is responsible for ensuring all assigned projects are documented, uploaded to the PMWeb platform ensuing all data entry is correct, in line with the client’s expectations and that of the Project Managers. They will also be responsible for the administration of the project managers ensuring the team as a whole is successful in its goals and objectives.

The role ensures efficient and consistent updates on all project activities to meet the contractual obligations, helping to achieve the Client’s regional on time project delivery objectives, financial management and control, data consistency and risk management.

MAJOR RESPONSIBILITIES

Roles and Responsibilities:

Ownership

  • Assist the Project Managers to develop the project plans
  • In advance of the project commencement load all projects onto the PMWeb
  • Constantly monitor the progress of all projects under their control
  • Ensure regular review of data
  • Provide analytics review
  • Collate and review supply chain quotes
  • Understand the local client’s key business drivers
  • Support the FM and Clients team to upload small works where applicable to OVP

Client/Stakeholder Management

  • Serves as primary point of contact for JLL for the JPMC Account with regards to projects
  • Accountable for PMWeb regularly updated to meet contractual obligations of JLL for the JPMC Account
  • Manage relationships with key stakeholders in the Client’s organization
  • Work with the project managers to plan, schedule and constantly review the capital plan works and especially those allocated to JLL
  • Work with the D&C team to develop a plan, schedule and consistently review the BAU/small works plan
  • Develop and maintain a detailed understanding of the Client’s business and key factors influencing their requirement for our services
  • Work with the project managers/owners to collate, review and upload quotes for projects
  • Provide reports and gaps in project financial process
  • Help support the agreed country growth targets for their sub-regions.
  • Develop and understanding of the services provided by Jones Lang LaSalle. Identify opportunities to cross-sell services and make recommendations for growth.

Contract Management

  • Ensure all aspects of the role are adherence to the contract
  • Responsible for the reporting of key performance indicators, service levels and other measures
  • Escalation of requirement for change and ensure change control process is adopted and implemented

Operations

  • To facilitate the transfer of information for projects delivered under the IFM contract throughout EMEA (Europe, Middle-East and Africa)
  • To keep information on PMWeb up to date
  • To transcend some of the PMWeb skills to the general working team in order to help assist collaboration and efficiency
  • To organise communications according to time zones and to integrate with the 19-20 Project Managers that host the projects throughout EMEA
  • To report with clarity and precision to members of the team

CANDIDATE SPECIFICATION: KEY SELECTION CRITERIA

Ideal Experience

  • Minimum 1 years’ experience in a similar role
  • Has experience in handling client and/or Firm sensitivities’ knowing when to escalate with urgency, or how to de-escalate certain risks
  • Has experience in translating client needs into existing or new business growth
