The Role:

The Project Coordinator role supports the Project Management team (Senior Project Manager and/or Project Managers) to deliver projects across the UK. As a Project Coordinator, you will work very closely with the Project Managers to deliver the full project lifecycle across multiple projects, ensuring high standards and deadlines are met.

What you’ll be doing:

  • Supporting Project Managers to track individual projects and their status through the pre-construction process to project completion.
  • Updating project programmes to ensure all delivery dates are met.
  • Arranging and supporting site meetings and producing detailed minutes as required.
  • Ensuring all data and information such as purchase orders, programmes, and minutes are sent out in a timely manner.
  • Managing project information including site meeting minutes, programmes, cost reports, H&S info, attending site visits, and ensuring projects are executed to high standards.
  • Assisting Project Managers with cost reporting, including project-specific reports, cost reports, and final accounts.
  • Supporting project-related administration and ad hoc requests.
  • Providing weekly updated reports for clients as required.
  • Communicating with contractors, suppliers, and clients as needed.
  • Generating tender lists for projects with support from Project Managers.
  • Managing and improving the aftercare/handover process across the project list.
  • Supporting on-site activities and following up with contractors for costs and snagging.
  • Communicating with legal teams, landlords, and consultants regarding project actions.
  • Demonstrating passion for the industry to progress and develop your professional and technical skills.
  • Developing knowledge of costs and rates for negotiating contracts and schedules of works for M&E, FF&E.
  • Understanding compliance and legislation to ensure high safety standards and adherence to local authority/building control requirements.

Requirements:

  • Strong work ethic, self-starter, with problem-solving skills.
  • Highly organized and diligent.
  • Experience with contractor/client-side contracts and project management within retail, leisure, or hospitality sectors.
  • Excellent communication skills, responsive, and able to react quickly.
  • Ability to learn quickly, understand project requirements, and develop construction knowledge and methodologies.
  • Proven track record supporting project management lifecycle in retail, hospitality, and leisure interior fit-outs across the UK.
  • Good understanding of construction safety requirements and H&S legislation.
  • Ability to build trust and strong client relationships.
  • Clean UK Driving Licence.
