Job summary

Gensler in Birmingham seeks a Project Coordinator to support Design/Project Managers through all project phases from proposal to close‑out. This on‑site role collaborates with Design Managers, Counsel and the Project Accountant to streamline contracts and submittals.

You will drive efficiency using PM tools, enter staffing and revenue plans, and contribute to the studio’s metrics on contract signage and project delivery. A genuine interest in architecture and design helps you excel here.

Qualifications

• 1+ years demonstrated experience in a similar role for the A/E/C industries.
• Excellent verbal and written communication skills.
• Proficient in Microsoft Word and Excel; capable of taking meeting notes.
• Experience working in InDesign is a plus.
• Legal and contract review experience is a plus, but not required.

Responsibilities

• Assist Contract/Proposal processes and track signage on LOIs and consultant agreements.
• Coordinate with In‑House Counsel, Design Manager and Project Accountant on draft contracts.
• Use project management tools to create schedules, staffing and revenue plans.
• Act as a go‑to resource to meet firmwide metrics goals and project delivery.
• Provide general project support like research, meeting notes and project profiles.

Job description

As a Project Coordinator, it is your responsibility to support Design/Project Managers throughout the life of the project from the initial proposal, through various design phases, to project close-out.

Please note, this role is not remote. We look forward to working with our new Project Coordinator in our incredible office.

What You Will Do

You will partner with Design Managers on the following:

• Contract/Proposal Assistance – Write, edit, administer and track signage on Letters of Intent, Interim and Final Agreements, Consultant Agreements, and Work Authorizations; as well as processing the flow of submittals and RFI's between the contractor and design team.
• Liaise between In-House Counsel, Design Manager and Project Accountant to incorporate comments into draft contract and ensure contract fee is up to date
• Utilize project management tools to increase efficiency for both Design Managers and the studio; this includes entering staffing and revenue plans, creating project schedules, and using data management software to identify areas of improvement
• Be a go-to resource in your studio on how to understand, meet, and exceed firmwide metrics goals (staffing and revenue plan completion, contract signage, resilience and sustainability metrics)
• General project assistance such as supplementary project research, meeting notes, updating project profiles, and other miscellaneous tasks to improve the project quality and delivery process

Your Qualifications

• 1+ years demonstrated experience in a similar role for the A/E/C industries
• Self-motivated and naturally curious about the architecture and design process
• Proficient in Microsoft Word, Excel and capable of taking Meeting Notes
• Experience working in InDesign on presentations and organizational charts is a plus
• Excellent verbal and written communication skills
• Legal and contract review experience is a plus, but not required
