Role Overview:

As a project administrator you will serve as one of the main contacts for all project participants. Your role will include organizing meetings, documenting decisions, and dividing projects into manageable tasks. You will help to develop and maintain workflows, assess risks, and prepare necessary documentation. Also oversee project progress, resolve any administrative issues, and ensure quality control.

  • Scheduling internal and external meetings and arranging site visits: Preparation of health and safety information for site visits and seeking necessary internal approvals.
  • Documentation: Handling minute-taking/actions at meetings and preparing and formatting project documents and reports.
  • Planning Assistance: Assisting with project planning and keeping project calendars up to date.
  • Administrative Tasks: Tracking projects, maintaining compliance regulations, ordering equipment, arranging inductions and onboarding, arranging required clearance for the team.
  • Progress Monitoring: Monitoring project progress and addressing issues.
  • Domestic travel booking.
  • Location: Would ideally be based in one of the following locations: Birmingham, Leeds, London, Manchester. May include travel to any UK WSP offices.
  • Client Sensitive Projects.

Your Team:

Your group will contribute specialised knowledge to manage and execute various projects or programs, ensuring the planning and control of project delivery to meet the investment goals of our clients. In partnership with technical experts from across the broader WSP network, we offer clients top-tier proficiency to carry out a diverse array of projects. You will acquire essential understanding and skills from working at one of the globe’s foremost engineering professional services companies.

As a project administrator you will collaborate with a diverse team to help work towards and ensure the smooth execution of projects. You will work with a range of skilled people from varied disciplines and areas of the business. You will also work alongside external partners.

An interest or experience in this role and have a background in administration or project coordination, possess the following behaviours:

  • Owing to the stringent security demands of this role, applicants are required to have resided in the UK for a minimum of five years and hold a British passport.
  • Additionally, they must undergo a Security Clearance process.
  • Previous experience of working within projects and admin.
  • Strong levels of communication (both in person and through digital channels). Clear and consistent communication with team members, stakeholders, and management is key.
  • Good working knowledge of Microsoft 365, including Word, PowerPoint and Excel.
  • HR tasks – onboarding, right to work checks, induction.
  • Technical Proficiency, familiarity with project management tools and software.
  • Risk Management, identifying and mitigating risks.
  • Problem solving, being able to address issues and adapt to changes.
  • Attention to detail, ensuring accuracy in project documentation.
  • Collaboration, possessing the ability to work well with cross-functional teams.
  • Ability to develop new and existing relationships internally and externally with partners and clients.
  • Preparation of presentations; marketing materials; reports.
  • Time Management, prioritizing tasks effectively.
  • Adaptable in handling unexpected situations gracefully.
