The Project Administrator supports the effective planning, execution, and delivery of projects by

providing administrative and coordination support to our client-facing and internal projects. This

role ensures project documentation, schedules, and communication channels are well

maintained to facilitate smooth project operations.

Key Responsibilities

  • Assist Project Managers in the creation and maintenance of project documentation,
  • including project plans, status reports, risk registers, and meeting minutes.
  • Coordinate and schedule project meetings, prepare agendas, and document key
  • decisions and action items.
  • Monitor project timelines and track progress against milestones, escalating issues
  • where necessary.
  • Ensure timesheets are recorded and summarized.
  • Ensure invoices are raised.
  • Administration of project tools and accelerators (Azure DevOps, Jira, Confluence, etc.).
  • Support budget tracking and resource allocation by maintaining accurate records of
  • expenditures and staffing.
  • Facilitate communication across project teams and stakeholders to ensure alignment
  • and transparency.
  • Maintain project repositories and shared documentation environments (e.g.,
  • SharePoint, Teams, Confluence).
  • Assist in the preparation of project presentations, reports, and dashboards for internal
  • and external stakeholders.
  • Contribute to process improvement initiatives and the implementation of project

Required Skills and Qualifications

  • Proven experience in a project support or administrative role.
  • Strong organizational skills with attention to detail and the ability to multitask
  • effectively.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite (especially Excel, Word, PowerPoint) and familiarity
  • with project management tools (e.g., MS Project, Azure DevOps, JIRA, Smartsheet,
  • Asana, or similar).
  • Ability to work independently and collaboratively in a dynamic team environment.
  • Preferred Qualifications
  • Formal training or certification in project management (e.g., PRINCE2 Foundation,
  • CAPM, or similar).
  • Experience working in a PMO or supporting IT, or business transformation projects.
  • Familiarity with agile and/or waterfall project methodologies.

Working Conditions

  • Office-based with the potential for hybrid or remote work.
  • May require occasional travel or flexible working hours to meet project deadlines.
