Job summary

AIFS Study Abroad in London (Kensington) seeks a Programme Specialist to plan and support delivery of customised study abroad programmes across locations, within budget and standards. The role collaborates with U.S.

faculty and the Programme Management team to ensure quality and on-time delivery. Responsibilities include preparing budgets, updating materials, and managing programme costs while maintaining high student satisfaction and service levels.

Qualifications

  • Ability to work both independently and as part of a small team and larger site-based team.
  • Commitment to quality, flexibility, good interpersonal skills, ability to prioritise.
  • Proficiency with Microsoft office programs.

Responsibilities

  • Prepare proposals and create programme budgets for new and repeat customised programmes.
  • Support the Programme Management team with updates and audits to programme materials.
  • Work with U.S. faculty to design and deliver programmes that meet academic goals.
  • Liaise with programme delivery staff to plan and book programmes and ensure high student satisfaction.
  • Maintain accurate accounts and control programme delivery costs for programmes under your responsibility.
  • Prepare and update promotional and pre-departure materials for assigned programmes.
  • Provide a high level of customer service to U.S. faculty and study abroad coordinators.
  • Support Senior Leadership and Programme Management with divisional procedures and policy.

Position: Programme Specialist

Reporting to: Director of Customised Programmes / Deputy Programme Director

Location: London, UK

Hours & contract type: Full-time, permanent

The American Institute for Foreign Study (AIFS) was founded in 1964 and since then, over 1.6 million students have participated in our educational and cultural exchange programs. The AIFS Abroad Division enables over 7,000 American college students to go abroad each year on one of our three program types: study programs send approximately 4,000 students to local universities around the world; customized, faculty-led programs host approximately 2,600 students; internships place approximately 650 students on placements every year.

Job Summary/Main Purpose

AIFS Study Abroad has a vacancy for a Programme Specialist in its London Office (Kensington). The primary function of the role is to support the planning and effective delivery of a range of customised study abroad programmes within a portfolio of locations to agreed standards and within agreed budgets.

Responsibilities
  • To prepare proposals and create programme budgets for new and repeat customised faculty-led and Study Abroad programmes around the globe.
  • To support the Programme Management team with updates and audits to programme materials.
  • To work with U.S. faculty to design and deliver a programme which meets their academic goals.
  • To liaise with the programme delivery staff to plan and book programmes and ensure a high level of student satisfaction. This may include working directly with students and faculty.
  • To maintain accurate accounts and exercise appropriate control over programme delivery costs for those programmes you have direct responsibility for.
  • To prepare and update accurate promotional and pre-departure materials for programmes assigned to you.
  • To provide a high level of customer service to U.S. faculty and study abroad coordinators and respond to their questions in a timely manner.
  • To support Senior Leadership and the Programme Management team with the design and implementation of divisional procedures and policy
Performance Indicators
  • Delivery of programmes within agreed budgets and timelines.
  • Achieving at least 90% excellent and good combined in all categories on student evaluation forms for programmes under your control.

Salary and Benefits

In return for a minimum of a 35-hour working week Monday to Friday, and additional hours according to programme needs:

  • A basic gross salary starting from £32,000 per annum + benefits.
  • 22 days paid holiday a year plus bank and public holidays. Some weekend days of work or travel overseas may be required as part of the contract.
