Job description

Aspinal of London are looking for a Production Coordinator to support the Head of Production on delivering the production from sign off through to launch, maintaining on time delivery of 95% ensuring the product meets all key stakeholders' milestones in terms of delivery and margin from all global partners.

This role requires attendance in the office at least 4 days per week in Fernhurst.

Accountable for:

  • To build strong relationships with all AOL suppliers in order to achieve 95% on time delivery.
  • To ensure POs are raised correctly and accurately, monitoring throughout the season so not to jeopardise delivery.
  • To be a key support on the critical path management throughout production process start to end, working closely with the RM team and Senior Production Coordinator.
  • To communicate with the suppliers to ensure shipments and paperwork are correct before handing over to the Production Admin Assistant.
  • To be conscious and support the photography process, supporting the Administrator where needed to ensure all images online are respective of the product.
  • Ensuring that the system is always up to date and accurate.
  • Freight Spend and Tracking, to own the freight tracker sheet and accurately record all spend data reporting out on a monthly basis the updated spend.
  • Ensure all PO supplier information is correct and sent in a timely manner.
  • Proactively collate all information to report out correct delivery information to the business.
  • Be proactive in replying to all pending questions within 24 hours.
  • Partner with logistics in achieving budget targets, analysing freight and forward planning shipment bookings.
  • Own the freight tracker ensuring all costs are accounted for and the best method of movement is planned.
  • Be dedicated to the goal of on time delivery, supporting the Senior Production Manager with the communication with suppliers and owning dedicated suppliers.
  • Support the Production Admin in ensuring all PPs are sent in good time, comments are turned around in a timely manner and in line with the Creative Directors vision.

Product and Critical Path Review:

  • Ensure CP's are called in on a weekly basis.
  • To own the PO Schedule, ensuring clear information is fed back for the assistant production admin to accurately update the system. In particular the updates from the suppliers so that the PO schedule can be as up to date as possible for the business.
  • To attend weekly calls for the suppliers to ensure key partners are connected, taking accurate notes to ensure all parties promptly follow up.

System Responsibilities:

  • Uploading orders onto NAV and ensuring information is accurate once confirmed by the Senior Production Co-ordinator.
  • Confirming with suppliers that POs have been logged and requirements have been passed to the Raw Materials Team.
  • Always ensuring Aspinal systems (NAV) is updated with the most recent information by feeding clear information to the admin.
  • Supporting the Production Admin Assistant when needed to ensure supplier invoices are matched within 48 hours, noting the impact on the business if not done so.
  • Notifying the Head of any discrepancies should they arise.
  • Having a clear understanding of Aspinal's quality standards & flagging any quality issues with the team, supporting the Production Admin Assist in collating the information for review.
