A respected medical practice in North Shields is seeking a highly motivated manager to lead operations, HR, and finance. The successful candidate will have experience in managing teams and a solid understanding of business management. Responsibilities include developing policies, overseeing compliance with CQC standards, and fostering a supportive team environment. Candidates must be conscientious,provide solid leadership and have a sound knowledge of business management, finance,strategic planning and HR.
Previous management experience,leadership skills, competency in office IT and effective communication skillsat all levels are essential.

Our organisation is led by a team of 10dedicated GP Partners and supported by a wide-ranging multidisciplinary teamthat includes Salaried GPs, Advanced Nurse Practitioners, Practice Nurses, aCommunity Practitioner, Physician Associate, Nursing Associates, HealthcareAssistants, and a Phlebotomist. We are also fortunate to have an integratedpharmacy team comprising Clinical Pharmacists and Pharmacy Technicians, whocontribute significantly to the safe and effective management of prescribingand medication use
Thefollowing are the core responsibilities of this post. Theremay be on occasion, a requirement to carry out other tasks; this will bedependent upon factors such as workload and staffing levels.
HumanResource Management:
Develop,implement and consistently use HR and training policies
Ensurethe effective recruitment, selection and induction of new staff.
Ensurerecruitment procedures provide for appropriate checks on the suitability ofstaff offered employment and that staff personnel files contain records ofreferences, qualifications, current professional registration and currentmedical indemnity certificates.
Ensureclear and up to date contracts of employment, employment policies andprocedures.
Overseethe running of the staff appraisal scheme.
Ensurethe personal development and training of all staff.
Ensurethat all statutory requirements are fulfilled and adopt changes as and whenthey occur.
Ensureconfidentiality is always maintained and encourage professionalism in allstaff.
Policy,Planning and Strategy
Reviewthe organisation and developments within and outside the practice which willimpact directly or indirectly. Thisincludes involvement in local and national agencies which formulate andinfluence primary health care strategy.
Maintainresponsibility for developing and implementing a practice business plan.
Exploreinnovative ideas for provision of services to suit the needs of the practice'spopulation and the professionals working within the practice teams.
Exploreopportunities to optimise use of practice facilities, agree contracts andensure appropriate legal requirements.
Workclosely with the other practices within North Shields PCN.
Liaisewith other local practices through the practice manager's forum if availableand other relevant forums.
Wehave an internal finance team that is operationally responsible for financereports, budgeting, claims and payroll. As practice manager duties focus moreon strategic finance and governance but may include working closely with thefinance team to:
Ensureefficient working methods and best use of resources.
Retaincontrol of expenditure whilst ensuring necessary investment in resources.
Ensureall income-generating opportunities are explored and maximised and maximumpayments received for all initiatives.
Ensurepolicies and procedures to protect the practice against fraud and financialmismanagement.
Ensureappropriate control of the petty cash account
InformationManagement and Technology
Overseeand ensure the effective management of information within the practice and withoutside agencies.
Mangethe practice's IT strategy
Ensurethe functioning and best use of the practice's clinical computer system andimplement new software systems to aid the efficiency of the practice.
Ensurethat appropriate computer searches, audits and reports are carried out.
Ensurethe training of all personnel and users of the practice IT Systems
Ensuremaintenance of hardware and replacements as required.
Leadon IT crisis prevention and develop systems to protect security of data.
Ensurepolicies against the misuse of the internet and emails.
Preparebusiness case for future changes or developments and explore all relevantavenues of funding.
Overseeongoing development of practice's website
Ensureconfidentiality of data and conformity to all relevant legislation.
OperationalSystems
Ensurethe effective and efficient working systems and operational systems within thepractice.
Reviewand ensure that all operational systems, including the telephone system,appointments system, messages, visits, results, prescribing systems, access,incoming mail, scanning, etc function at an optimum level at all times.
Ensurethe summarising of clinical information on to the patient medical records andsummarising of notes is kept up to the necessary levels.
Ensurethe correct registration and deduction of patient records in line withrecommended procedures.
Liaisewith the GPs and practice nurses regarding systems for the management ofinformation systems to and from patients.
Ensuresystems under the Quality and Outcome Framework (organisational and clinical)
Evaluateand implement enhanced services.
Premises,Equipment and Stock
Overseeprocesses for the maintenance, repair and cleaning of all practice premises andarrange estimates as necessary.
Reviewbest use of premises
Ensureappropriate insurance of premises, equipment and stock.
Ensuresecurity measures of premises and personnel, including intruder alarms, firealarms and panic buttons.
Ensureadherence to health and safety and fire procedures throughout the practice andrelevant training and updates are undertaken as required by all practice staff.
Ensurerisk assessments are regularly carried out and documented.
Ensurethat the purchase and control of supplies, drugs and equipment meets thecurrent and future needs of the practice.
Managethe use by third parties of the premises and arrange for payment of a servicechare where appropriate.
QualityImprovement
Advisethe partners on action needed to maintain compliance with the CQC requirementsto maintain highest standards and achievement.
Managethe process by which the practice maintains registration under the CQC andsupport the partners through any inspection visits.
Maintainpractice policies and risk assessments to achieve CQC standards
Monitorand develop the operation of the organisation as needed to ensure that theessential standards continue to be met by the practice.
Implementand follow up any action or improvements required by the CQC in order tomaintain registration.
PatientServices and Practice Organisation
Developservices which best serve the needs of the practice's patient population.
Develop,maintain and market new and existing patient's services.
Managepatient complaints as they arise and maintain a proactive culture aroundlearning from them.
Maintainand promote a focus on patient centred care.
Obtaininformation from relevant patient forums and the patient participation group.
Embracelinks with other healthcare providers and social services.
Ensurehealth promotion campaigns targeted to relevant groups.
Initiateand participate in new policies and procedures to aim and improve practiceorganisation and provision of services to patients and ICB as required.
Showrespect and courtesy to patients and colleagues, maintain confidentiality ofpatient and other practice information at all times. Working occasional extrahours may be required.

Othermembers of the in house and aligned Primary Health Care Team eg Pharmacists,ANPs, Physician Associates, Mental health workers, Paramedics etc.
