Job summary

The University of Manchester is seeking a detail‑focused Post Management Assistant to support accurate creation and governance of Positions in Oracle Fusion HCM. You will work with People & OD, Finance and other stakeholders to keep data reliable, up to date and aligned with policy.

You’ll handle frontline support, maintain position structures, and contribute to salary coding and reporting. A structured, data‑driven candidate with strong communication will thrive in this hybrid role.

Responsibilities

• Provide frontline support via telephone and email to colleagues across the University.
• Set up and maintain Positions on Oracle Fusion HCM with proper authorisation.
• Collaborate with Employment Services to process Position changes accurately.
• Liaise with Finance to keep Position funding information and payroll-ready codes current.
• Ensure alignment of Position data across People & OD and Finance systems.
• Maintain reporting structures and support unit changes and restructures.
• Produce data quality reports and investigate anomalies in funding/activity codes.
• Support data requirements for HESA through monthly housekeeping.
• Help develop Position management processes and stakeholder communications.
• Attend meetings with senior stakeholders to review staff lists and data accuracy.

Job description

The University of Manchester is seeking a detail‑focused and customer‑centred Post Management Assistant to support the accurate creation, maintenance and governance of Positions within our People & OD system, Oracle Fusion HCM. This role is central to ensuring our organisational structure, reporting lines and Position data remain reliable, up to date and aligned with Finance systems and University policy.

Working within the People Systems team, you will act as a key point of contact for colleagues across People & OD, Finance and wider University stakeholders. You will help maintain the integrity of Position information, support seamless updates to Position and structures, and contribute to the development of our Employee and Manager Self‑Service offering.

About You

• Strong organisational and administrative skills, with the ability to manage competing priorities.
• Excellent communication skills, both written and verbal, with confidence engaging with colleagues at all levels.
• A detail‑oriented approach and the ability to maintain high levels of accuracy.
• Experience using standard IT packages and ideally experience with Oracle Fusion HCM, ResourceLink or similar HR/Payroll systems.
• The ability to extract, manipulate and interpret data using reporting tools such as Power BI.
• An understanding of data protection principles and their practical application.
• A commitment to continuous improvement and delivering a customer‑focused service.
• The ability to work both independently and collaboratively within a team.

What you’ll do:

• Provide frontline support via telephone and email to colleagues across the University.
• Set up and maintain Positions on Oracle Fusion HCM, ensuring appropriate authorisation and timely updates.
• Work closely with Employment Services to ensure Position changes are processed accurately and efficiently.
• Liaise with Finance colleagues and budget holders to maintain accurate Position funding information and ensure finance codes are active ahead of payroll deadlines.
• Support shared protocols between People & OD and Finance to ensure alignment of Position data across systems.
• Maintain Position‑to‑Position reporting structures and support organisational unit changes and restructures.
• Produce regular data quality reports, investigate anomalies and resolve issues relating to funding/activity codes or incorrect Position selection.
• Support HESA data requirements through monthly housekeeping and ensuring Position information meets reporting standards.
• Assist in developing and improving Position management processes, documentation and stakeholder communications.
• Attend meetings with senior stakeholders to review staff lists, reporting structures and data accuracy.
• Contribute to the continuous development of the Systems function and promote equality, diversity and inclusion in all aspects of your work.
• Undertake ad hoc duties commensurate with the role.

This is a hands‑on role for someone who enjoys working with data, systems and people. You’ll play a key part in maintaining the integrity of our organisational structure and supporting colleagues across People & OD and Finance.
