Job Description

The Value of Active Minds

About Jupiter

Jupiter is one of the UK's leading investment management companies with over 500 employees and £51.3 billion worth of assets under management (as at 30th June 2024).

Jupiter provides investment services to individual and institutional investors through mutual funds (UK unit trusts, Luxembourg SICAVs and Dublin OEICs), separately managed accounts and sub-advised funds. Jupiter has experienced a period of international growth with offices open in EMEA and APAC.

The majority of our employees are based in our London office located just minutes from Victoria station which provides stair-free access from both the Underground's Victoria line and Rail platforms, as well as limited road crossings to the Jupiter office. Our London office was designed to encourage employees to live active, healthy lives with floor-to-ceiling windows that allow for greater natural light and the benefit of a private balcony, table tennis room, cycle storage and on-site shower and locker facilities. The short distance to Green Park and St James' Park also provides employees with a natural space to relax during their lunch break and a healthy alternative to office-based meetings.

We offer our UK employees a 3:2 hybrid working arrangement where Tuesdays, Thursdays and a third day of your choice are worked from the office. The other two days may be worked from home. This facilitates collaboration and allows employees to maximise productivity whilst maintaining a healthy work/life balance.

Overview

We are seeking a highly capable and delivery-minded PMO Analyst to join our Change team, reporting directly into Head of Change. This role will provide critical portfolio, financial, and governance support across the Change portfolio, ensuring delivery is both strategically aligned and operationally sound. The successful candidate will bring rigour, structure, and attention to detail, playing a key part in how we govern change and ensure effective use of investment across the firm.

This role offers a unique opportunity to get involved with not only tracking and governance but also enabling delivery, driving portfolio alignment, and championing continuous improvement.

Key Responsibilities

Portfolio Management & Financial Control

  • Build and maintain a structured Excel-based solution to manage the full pipeline of change initiatives.
  • Track and manage budget allocations across resource and non-resource categories, maintaining monthly forecasts based on detailed resource input.
  • Reconcile actuals with forecasted spend using finance data (e.g. timesheets, invoices).
  • Maintain and update resource rates and classifications (e.g., technology vs business roles).
  • Monitor monthly resource allocations by project across the portfolio.
  • Leverage advanced Excel functions (VLOOKUP/XLOOKUP, SUMIF/SUMIFS, pivot tables, data validation, etc.) to maintain data integrity and usability.

Financial Process Implementation & Collaboration

  • Create and evolve fit-for-purpose processes to manage financials across the Change portfolio.
  • Support Project Managers in managing their individual budgets, including tracking forecasts vs actuals.
  • Work closely with Finance to ensure seamless integration between Change budget data and the company's financial systems.
  • Drive consistency, transparency, and auditability in all financial reporting.

Governance & Best Practice Implementation

  • Design and implement core governance frameworks, including status reporting and RAID tracking.
  • Ensure all governance and financial processes are policy-driven and align with recognised best practice standards.
  • Champion consistent use of project and portfolio reporting templates and tools.

Reporting & Committee Support

  • Produce accurate, timely reporting packs for senior stakeholders, including the Operating Committee.
  • Ensure reporting includes insightful summaries, risk/dependency views, and clear action plans for Amber/Red initiatives.
  • Provide visibility and traceability across the Change portfolio, helping inform strategic decisions.

PMO Operations & Continuous Improvement

  • Act as a central coordination point for portfolio delivery alignment.
  • Support broader PMO responsibilities including documentation, process improvement, and administrative oversight.
  • Capture lessons learned and contribute to the ongoing maturity of PMO practices.

What a Successful PMO Analyst Looks Like

The successful PMO Analyst will contribute to a Change PMO that:

  • Aligns Change with Strategy - Ensuring initiatives are prioritised and governed in line with strategic objectives.
  • Supports Effective Delivery - Providing frameworks and tools that underpin, rather than constrain, successful delivery.
  • Enables Governance & Assurance - Embedding proportionate control and risk management across all initiatives.
  • Drives Resource and Portfolio Management - Offering a clear view of demand, capacity, and portfolio balance.
  • Promotes Continuous Improvement - Encouraging evolution of process and delivery based on insight and reflection.
  • Is firmly Delivery-Minded - Understanding that governance and oversight should enable, not obstruct, the execution of change.

Candidate Profile

Required Experience & Skills

  • Experience operating as a solo PMO without a dedicated PMO team
  • Experience implementing and managing governance best practices
  • Demonstrable experience managing a portfolio of change with a self-implemented Excel-based solution (able to work without a dedicated PMO toolkit)
  • Strong financial management skills, particularly in budget tracking, forecasting, and reporting.
  • Advanced Excel skills including use of VLOOKUP/XLOOKUP, SUMIF/SUMIFS, conditional formatting, etc. Able to manage data using formulae rather than relying on pivot tables.
  • Proven experience supporting Project Managers with financial tracking and budget control.
  • Familiarity with financial governance processes and experience working closely with Finance functions.
  • High standard of MI/reporting production for senior audiences.
  • Ability to work independently and with minimal reliance on enterprise PMO tools.
  • Excellent organisational skills and attention to detail.

Desirable Attributes

  • Previous experience in asset management or financial services.
  • Collaborative, proactive, and resilient under pressure.
  • Able to engage internal stakeholders and be assertive when needed.
  • Strong written and verbal communication skills.
  • Naturally structured, inquisitive, and motivated by continuous improvement.

Additional Role Details

  • This role is subject to the Conduct Rules set by the FCA.
