Job summary

Sandwell Metropolitan Borough Council invites applications for a Planning and Admin Officer within the Asset Management and Improvement team. The role focuses on providing a high-quality, customer-focused service, with procurement and scheduling responsibilities in a busy environment.

Hybr id working is offered with 3 days in-office attendance weekly, supporting multiple teams, maintaining records, and liaising with customers and contractors to ensure timely progress.

  • Provide day-to-day administrative support and undertake general office duties within the Fire Safety, Fleet, Premises and Health & Safety teams.
  • Coordinate and monitor appointments within operative diaries and electronic scheduling systems.
  • Raise purchase orders and process invoices for payment.
  • Maintain records and management information systems.
  • Liaise with customers and contractors to ensure works and inspections are completed efficiently.

Job description

We have an exciting opportunity to join our dynamic Asset Management and Improvement team as a Planning and Admin Officer.

  • We are looking for an enthusiastic person to provide a high quality, customer focused service for all customers of the Asset Management and Improvement service.
  • Ensure the supply of all materials through procurement and systems management.
  • To monitor and plan using electronic work schedulers for the efficient use of resources
Skills and Experience
  • Provide day-to-day administrative support and undertake general office duties within the Fire Safety, Fleet, Premises and Health & Safety teams.
  • Support Managers, Senior Managers and Officers with technical and administrative activities.
  • Contact customers and stakeholders to arrange, confirm and reschedule appointments.
  • Coordinate and monitor appointments within operative diaries and electronic scheduling systems.
  • Liaise with customers, operatives, contractors and stakeholders to ensure works and inspections are completed efficiently.
  • Respond to telephone calls, emails and customer enquiries in a professional and timely manner.
  • Meet and assist contractors attending site and ensure appropriate access arrangements are in place.
  • Distribute, record and manage keys issued to contractors and visitors.
  • Maintain accurate records, databases, spreadsheets and management information systems.
  • Raise purchase orders and process invoices for payment.
  • Keep customers and stakeholders informed of appointment changes, progress updates and service delivery matters.
  • Demonstrate knowledge and experience to maintain, support and update relevant paperwork to the electronic work scheduler and asset management systems, liaising with the Line Manager with any updates/changes required.
  • Demonstrate experience of using e-procurement systems to order materials from internal and external suppliers, plant/scaffolds etc., raise orders, pay invoices for contractors and raising/appointing post work inspection / independent reviewer as required
  • To operate ICT systems, within a busy work environment, always adhering to the procedures and guidelines laid down.
  • Experience of dealing with the public / various stakeholders in working environment.
  • Experience of planning with electronic scheduler system
  • Good Communication skills both written and verbally.
  • Use of modern ICT systems, 37 hours per week. This role is Hybrid, with a minimum of 3 days per week in-office attendance required, additional days working in the office may be required for business needs
    GCSE Grade C or above in English and Mathematics or equivalent qualification. Or to demonstrate experience and ability to perform the role.
