Job summary

Queen Alexandra Charity is seeking a part-time Personal Development Administrator to provide essential administrative support across the Personal Development area. The role involves managing registers, communications, meeting administration and data tasks, with a focus on upholding accurate records and efficient processes.

The position offers flexible working between 3 and 4 days, 22 hours per week, with a pro‑rated salary and a permanent contract.

Qualifications

  • Minimum Level 2 qualification in English and Maths.
  • Good IT skills including Microsoft Office.
  • Willingness to undertake further training.
  • Sound administrative and organisational skills.
  • Ability to maintain accurate records and electronic filing.

Job Purpose

The role provides administrative support to the Personal Development area at QAC, including Work Experience, Careers and Next Steps, PSHE, Student Voice, Collaborations and Citizenship, and Preparation for Adulthood activity, as directed by the Assistant Principal – Personal Development.

The postholder will support the effective organisation, recording and communication of Personal Development activity, helping to maintain accurate systems, efficient administrative processes and consistent records across the College.

Key Responsibilities & Safeguarding
Personal Development Administration
  • Provide administrative support for Personal Development activities, events and projects, as directed by the Assistant Principal – Personal Development.
  • Support the preparation of registers, resources, letters, forms, booking information and event documentation.
  • Assist with organising meetings, events, workshops, assemblies, employer encounters, student voice activities and other Personal Development opportunities.
  • Support communication with staff, students, families, employers and external partners where required and as directed.
  • Collate information, feedback and evidence provided by relevant staff to support reporting, audits and quality processes.
  • Maintain organised electronic folders and shared resources linked to Personal Development activity.
  • Support the AP PD with follow‑up actions, reminders and administrative checks linked to planned activity.
Administrative Support to the Assistant Principal – Personal Development
  • Provide administrative support to the Assistant Principal – Personal Development.
  • Support meeting administration, including preparing agendas, taking minutes and maintaining action notes where required.
  • Support the organisation of Personal Development calendars, key dates and activity schedules.
  • Prepare documents, reports, briefing notes and information summaries as directed.
  • Maintain action logs and support follow‑up of agreed administrative tasks.
  • Support the collation of information required for self‑assessment, quality improvement, audits and reporting.
Data, Systems and Tracking
  • Support the maintenance of Personal Development records, trackers and evidence systems, as directed by the Assistant Principal – Personal Development.
  • Assist with data entry, checking, filing and collation of information across Personal Development areas.
  • Support the preparation of routine summaries, reports and evidence packs using information provided by relevant staff.
  • Identify missing or incomplete administrative information and follow up with relevant staff where requested.
  • Maintain clear and organised electronic filing and shared evidence systems.
Team and Operational Support
  • Respond to routine administrative enquiries and direct queries to the appropriate member of staff.
  • Work collaboratively with curriculum, support and wider college teams.
  • Support the organisation of shared calendars, key dates and activity schedules linked to Personal Development.
  • Undertake additional administrative duties linked to Personal Development, as reasonably directed by the Assistant Principal – Personal Development.

Queen Alexandra Charity (QAC) provides education, residential support, community services and enterprises in support of young adults with learning difficulties and disabilities.

Education is provided through a national residential College that supports a diverse range of student/client abilities and needs. Our College provides education, training, routes to independent living and employment through an innovative, holistic approach to learning and support. It offers a vibrant, varied and fun educational experience for both residential and day students. Our curriculum aims to maximise adult life, independence and work opportunities for all students. Clients within our Residential Services programme still require support and the aim is to deliver a service that provides them with the means to live independently/semi independently into the future. Our Community Services based at our Umberslade Campus in Stirchley include a supporter worker service, women's group, men's group, LGBTQ plus group, Saturday Socials, The Night Owl Experience (disability friendly night club visit in Birmingham City Centre).
