Job Description:

Job Activities:

  • Provide secretarial and personal assistance to the Managing Director and senior management team (total of 4 members)
  • Offer administrative support to the wider team on an ad hoc basis
  • Manage the Director’s calendars, including arranging, cancelling, and monitoring meetings
  • Organize regular meetings for direct reports and business units, including one-to-one sessions for the MD
  • Organize travel arrangements and prepare travel documentation
  • Coordinate company events
  • Handle logistics for senior management meetings, including venue booking, agenda preparation, minute-taking, and follow-up
  • Coordinate events and meetings involving Paris HQ or other group entities
  • Prepare monthly expense claims for the MD
  • Maintain and review the CMC rota to ensure full coverage and provide assistance as needed
  • Assist with other reasonable requests from the MD and management team
  • Assist with master data management, including supplier creation/update in MBC and access rights to various tools
  • Manage office supplies and liaise with IT and office access providers
Candidate Profile:
  • Exceptional organizational skills with the ability to prioritize and manage multiple tasks
  • Strong verbal and written communication skills
  • High attention to detail and accuracy
  • Proactive with problem-solving abilities and anticipation of the MD’s needs
  • Discreet and professional with confidentiality
  • Proficient in Microsoft Office Suite and other productivity tools
  • Flexible and adaptable to changing priorities
  • Minimum of 5 years’ experience as a senior secretary/PA, with relevant formal secretarial training
  • Proficiency in French is an advantage
