Temporary PA Team Support – Ongoing Assignment

About the Role

My client a Global Retailer is looking for an experienced and highly organised PA Team Support professional to join their busy executive office on an ongoing temporary basis. This role will provide essential support to the PA to the Chairman and Group Chief People & Performance Officer (CPPO), as well as the Finance PA team. You’ll play a key part in ensuring smooth operations, managing complex schedules, and supporting senior stakeholders.

Key Responsibilities
  • Assist with diary management for senior executives, coordinating meetings, calls, and appointments.
  • Arrange travel itineraries, including flights, hotels, visas, and medical requirements.
  • Support the organisation of in-person and virtual events for small and large groups.
  • Liaise with office management, HR, and IT departments as needed.
  • Prepare PowerPoint presentations and assist with document formatting.
  • Collate and submit expenses for the CPPO.
  • Provide support for non-executive directors’ travel and requirements.
  • Act as a point of contact for internal and external stakeholders.
  • Assist other senior PAs within the Grosvenor Street office as required.
  • Handle ad-hoc administrative tasks and ensure confidentiality at all times.
What We’re Looking For
  • Proven experience supporting busy executives or senior leadership
  • Strong organisational skills and ability to manage multiple priorities under pressure.
  • Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and familiarity with Teams, Adobe, and DocuSign.
  • Excellent interpersonal and communication skills.
  • Ability to anticipate needs and work proactively.
  • Professional, diplomatic, and approachable with a “can-do” attitude.
  • Experience arranging international travel and events.
