The Role

Are you a proactive and detail-oriented professional with a passion for delivering top-notch administrative and operational support? Imperial Brands, a leading global FMCG company, is seeking a dynamic PA/Office Manager to support our senior leadership team in Liverpool.

In this role, you'll autonomously tackle complex tasks, allocate resources efficiently, and ensure the highest quality of work from your colleagues. You'll also manage our reception team in Liverpool, driving excellence in every interaction. This is a 12 month Fixed Term Opportunity

Principal Accountabilities

  • Meeting & Calendar Management: Lead annual planning and scheduling of key meetings, manage diaries, emails, travel, and international workshops for the Global Innovation Director and team.
  • Leadership Support: Provide PA services, prepare agendas, take minutes, track actions, and coordinate offsite meetings and team-building events.
  • Site & Team Coordination: Manage Liverpool site visits, support local leadership with travel and expenses, and oversee wellbeing initiatives and internal communications.
  • Event Planning: Organise internal events, including Christmas parties and engagement sessions, managing all logistics from venue sourcing to on-the-day coordination.
  • Reception & Visitor Management: Coordinate key site visits, manage reception coverage, and oversee a team of receptionists.
  • Cross-functional Support: Collaborate with the PA/EA network across the company, provide secretarial support to senior managers, and ensure smooth administrative operations.

Skills & Experience Required

  • Personal Assistant Experience: Extensive experience supporting senior managers internationally.
  • Microsoft Office Proficiency: Advanced skills in PowerPoint, Excel, and Word.
  • Travel Coordination: Expertise in arranging complex national and international travel.
  • Interpersonal Skills: Strong collaboration with diverse teams and professional demeanour.
  • Essential Qualities: Organised, multitasking, logical, flexible, discreet, self-motivated, proactive, decisive, autonomous, strong communicator, and confidential.
  • Document Management: Efficient in implementing and operating document storage and retrieval systems.
