Job description

As a Personal Assistant, you will be primarily responsible for providing professional, secretarial, and administrative support to two senior Heads of HR across BX. Your responsibilities will include:

  • Managing the complex, ever-changing diaries of the Heads of HR
  • Organising and prioritising meetings, often at short notice
  • Acting as the first point of contact for visitors, conveying a professional image
  • Establishing and maintaining relationships with stakeholders and their PAs
  • Supporting ad hoc projects within the BX COO HRBP Team

We seek a proactive, hardworking, forward-thinking team player with a can-do attitude, who can work seamlessly with other assistants and stakeholders.

Essential qualifications include:

  • Proven experience as a Personal Assistant or similar role
  • Excellent organisational and time management skills
  • Strong communication skills
  • Proficiency in Microsoft Office Suite

Preferred experience includes:

  • Ability to improve workflows proactively
  • Independence and flexibility in work
  • Experience in project management or administrative support in a corporate setting

This role is based in Glasgow.

Purpose of the role

To provide administrative support to executives and teams, managing schedules and ensuring professional coordination.

Accountabilities

  • Managing calendars and responding to meeting requests
  • Arranging travel and accommodation
  • Anticipating needs and prioritising tasks
  • Handling administrative tasks such as expenses, filing, and supplies

  • Perform activities efficiently and to a high standard
  • Possess technical expertise in the area
  • Lead or support teams, fostering development and collaboration
  • Ensure compliance with policies and procedures
