Location: Bournemouth

Contract Type: 12-month secondment / 12-month fixed-term contract

The Role

To provide efficient, effective, and confidential executive support services to assist the Regional Director in their role within the Group.

Outcomes of the Role

  1. Manage diaries by handling conflicting demands, recognizing the importance of meetings, and prioritizing accordingly. Book internal meetings and client reviews.
  2. Take minutes, draft presentations for internal audiences, and collate contributions from direct reports and other submitters.
  3. Provide administrative support, including creating and maintaining management information, spreadsheets, databases, and drafting client correspondence.
  4. Arrange travel and accommodation.
  5. Manage emails proactively and effectively.
  6. Maintain regular client liaison.
  7. Prepare for internal and client meetings.
  8. Disseminate information to relevant parts of the region.
  9. Collaborate with office heads on a regional level, as well as other regional heads, their EAs, and the business management team.
  10. Assist a team of secretaries in Bournemouth and provide holiday cover when needed.

Knowledge & Experience

  • Prior experience in an assistant or secretary role.
  • Proficiency in Excel, Word, PowerPoint, MS Teams.
  • Excellent attention to detail and accuracy.
  • Strong time management and organizational skills.
  • Ability to build relationships, navigate office politics, and communicate confidently with clients via telephone.
  • Use of initiative, ability to set objectives and targets, and commitment to achieving them.
  • Discretion and comfort in handling confidential information.
  • Broad knowledge of the Executive's business area and Rathbones overall (once in role).
