Job summary

iwoca is hiring a People Experience Administrator (German-speaking) to support payroll in the UK and Germany, onboarding/offboarding, and HR operations. The role is part-time (25 hours) with a flexible, hybrid setup in London, UK.

You’ll be the first point of contact for employee queries and help maintain accurate HR records across both countries. Fluency in German and English is essential, as is experience in HR systems.

Qualifications

  • Ideally 1-3 years' experience in a People Operations or HR administration role.
  • Fluent in German and English, to support our German team and payroll/benefits administration.
  • Confident with HR systems (BambooHR and Ashby), accurate with data and reporting, careful with confidential information.
  • Comfortable working independently and juggling competing priorities.
  • Comfortable using AI tools in practical ways to work faster and improve quality, with good judgement.
  • Genuinely excited by the operational side of People Ops and driving change.

Responsibilities

  • Support payroll across UK and German entities, ensuring accurate and timely pay.
  • Own day-to-day running of UK and German benefits and be the go-to person.
  • Maintain HR data entry and audits in BambooHR across both countries.
  • Coordinate onboarding for new hires, including background checks and setup.
  • Run the offboarding process and track exit interviews.
  • Answer day-to-day questions via ticketing system.

People Experience Administrator (German-speaking) - People Operations

Part-time : 25 hours per week (flexible). Hybrid in London, United Kingdom.

We’re looking for a People Experience Administrator

Keep the employee journey running smoothly for iwocans across the UK and Germany. You'll support payroll in both countries, run onboarding and offboarding, and be the first port of call for questions. This is a part-time role, ideally 25-hours spread across five days, but if a different pattern suits you better, we can be flexible.

The team

The People Operations team's mission is to attract, develop and retain high performers who genuinely love being part of iwoca. The People Experience team handles the nuts and bolts of the entire employee journey, from onboarding and offboarding to background checks and visa paperwork. It looks after HR systems like BambooHR and Peakon, keeps policies up to date, and manages benefits and payroll. The team is the first point of contact for most People Operations questions.

The role

As our People Experience Administrator, you'll be the first point of contact for iwocans and the person who keeps the employee journey running smoothly, from someone's first day to their last.

Supporting payroll across our UK and German teams is a key part of the role, so you'll play a direct part in making sure every iwocan gets paid correctly and on time.

It's a broad, hands-on role at the heart of our People Operations team, with the flexibility to shape your days and hours around your life, so it suits anyone balancing work with other commitments. You'll own your work and be someone the team relies on.

In this role, you'll:
  • Support the payroll process across our UK and German entities, working with Finance and our People Partners so every iwocan gets paid correctly and on time.

  • Own the day-to-day running of our UK and German benefits, and be the person iwocans come to when they have a question about them.

  • Maintain our HR database (BambooHR) through careful data entry and regular audits, keeping people data accurate across both countries.

  • Coordinate onboarding for every new iwocan, from background checks to new-starter set-up, so their first days run seamlessly.

  • Run the offboarding process, booking and tracking exit interviews.

  • Answer iwocans' day-to-day questions, directly or through our ticketing system.

  • Work across People processes in both the UK and Germany.

The requirements

The salary

These are full-time salaries that we'll pro-rate for the hours you work. We expect to pay from £32,000 - £36,000 for this role in London but, we’re open-minded and want to find the right person for this role, so definitely include your salary goals with your application. We routinely benchmark salaries against market rates, and run quarterly performance and salary reviews.
