Job Description

Sponge is hiring for a 1-year fixed-term contract to cover maternity.

This hybrid role is 25 hours per week, ideally spread across 5 days, attending the office on 2-3 of these days per week. You will provide dual support across the organisation, delivering both high-quality executive assistance to senior leaders and effective HR and Talent administrative support to the People Team.

It ensures operational efficiency and a positive employee experience by enabling senior leadership to focus on strategic priorities while ensuring HR processes run smoothly.

The role is pivotal in coordinating executive schedules, communications, and office operations, while also supporting the full employee lifecycle, from onboarding to offboarding. It requires discretion, excellent organisational skills, and a proactive mindset.

Job Requirements
  • Proven experience in administrative or EA/PA roles, ideally with exposure to HR processes.
  • Excellent organisation, communication, and time management skills.
  • Strong attention to detail and discretion when handling sensitive or confidential information.
  • Proficient in Microsoft Office and familiar with HR systems or databases.
  • Able to manage multiple priorities and adapt to changing demands.
Job Responsibilities
  • Provide executive support including diary, travel, inbox, and meeting coordination for senior leaders (CEO, HRD and FD).
  • Manage employee lifecycle administration: onboarding, changes, leavers, contracts, and record-keeping.
  • Coordinate HR documentation and respond to People Team inbox queries.
  • Prepare and maintain reports, board materials, internal communications, and events.
  • Support compliance activities across HR and office functions, including data protection and health and safety.
