Job summary

Safeguard Global is seeking a Payroll Coordinator to manage the end-to-end payroll lifecycle for our global workers, ensuring accurate, timely payments and compliance with local regulations. You will coordinate with internal teams and external providers, investigate discrepancies, and generate invoices where required.

Qualifications

  • 1–2 years of payroll experience preferred.
  • Solid knowledge of payroll concepts and local payroll legislation for supported countries.
  • Excellent written and oral communication in English and Portuguese.
  • Strong problem solving, attention to detail and analytical skills.
  • Ability to multi-task and manage priorities; self-directed with initiative.

Responsibilities

  • End-to-end payroll processing post onboarding.
  • Stay updated on payroll policies and local regulations.
  • Identify and fix payroll discrepancies.
  • Review and approve payroll reports.
  • Maintain payroll KPI, schedules and master data.
  • Ensure timely payroll payments to workers.
  • Keep employee records up to date.
  • Handle funding/billing and issue invoices.
  • Store worker documentation per compliance.
  • Process changes to contracts or benefits.
  • Respond to payroll queries from teams/partners.
  • Manage offboarding for term contracts.

Payroll Coordinator

The Payroll Coordinator will include managing the life cycle of each worker's employment with Safeguard Global. Key priorities for this position include day-to-day query management, ensuring smooth, efficient, compliant payroll processing for our clients working closely with internal/external providers, generation of sales invoices, and ensuring timely and accurate worker payments.

Key Responsibilities:
  • Manage end-to-end payroll cycle for Safeguard Global’s worker's payroll post onboard.
  • Maintain high knowledge of all of the company's payroll policies and governmental regulations impacting payroll preparation
  • Investigate and correct payroll reports identifying out-of-balance payroll.
  • Perform necessary review and approve payroll reports against housed information and client input
  • Maintain periodically KPI, internal reporting, payroll schedule, and master payroll input.
  • Ensure accurate and timely processing of payroll payments to workers.
  • Monitor and maintain employee data, Ensure all employee records are up to date before the payroll processing.
  • Manage the funding/billing process for payroll completing charging sheet and generating sales invoices
  • Maintain and store all relevant worker documentation through the life cycle of employment as per in-country compliance and record-keeping guidelines.
  • Process any changes in employment contracts, changes after initial onboarding such as salary changes or benefits provided.
  • Ensure timely responses to queries received from internal support teams, ICP/ICE, and partners.
  • Work through compliant offboards for all workers whether on Indefinite or Fixed Term Contracts, this could be voluntary terminations or involuntary.
Requirements:
  • One to two years of working experience preferred.
  • Established knowledge of payroll concepts and local payroll legislation for supported countries.
  • Excellent written and oral communication skills in local Portuguese/English required.
  • Ability to problem solve, strong attention to detail /analytical skill – Should be able to Identify, Resolve, and Mitigate issues
  • Ability to multi-task and prioritize workload.
  • Self-directed individual with initiative.
  • Good attention to detail and excellent organization skills.
