Job summary

York and Scarborough Teaching Hospitals NHS Foundation Trust is seeking a skilled administrator to support the day-to-day management and development of the DCIQ patient safety system, including incident management, complaints, risk and assurance reporting.

Based in the Hospital, you will work in the Patient Safety Team providing specialist system administration, data quality support, and governance reporting, maintaining forms, workflows, alerts and user access while promoting a just, learning

Qualifications

• Experience with patient safety systems and governance reporting.
• Strong system administration and data quality skills.
• Ability to collaborate with clinical services, governance leads and digital teams.

Responsibilities

• Provide specialist administration and day-to-day support for the patient safety system and governance modules.
• Line manage the Patient Safety Systems Administrator, including guidance and workload oversight.
• Maintain system forms, workflows, alerts, user access, role profiles and reports.
• Support system testing, upgrades and new functionality with the system supplier and Trust Digital Services.
• Maintain system guidance and SOPs.
• Promote accurate reporting and a just learning safety culture through consistent system use.
• Support the use of the patient safety system across Care Groups and Corporate Directorates.
• Review incidents, complaints, patient experience themes and risks to identify learning.
• Prepare routine reports on quality, overdue reviews, high-scoring risks and emerging themes.
• Work with Medical devices team on National alerts such as NatPSA and MHRA.

Job description

The post holder will support the day-to-day management, use and development of the Trust’s patient safety and governance system (DCIQ). This includes supporting incident management, complaints, risk and assurance reporting so that information is recorded accurately, managed consistently and used to improve patient safety.

Working as part of the Patient Safety Team, the post holder will provide specialist support for system administration, data quality, LFPSE compliance, risk management and governance reporting. They will work with clinical services, corporate teams, governance leads, digital teams and system suppliers to improve system use, strengthen reporting and support organisational learning.

• Provide specialist administration and day-to-day support for the patient safety system and associated governance modules.
• Line manage and support the Patient Safety Systems Administrator, including day-to-day guidance, workload oversight and supervision.
• Maintain system forms, workflows, alerts, user access, role profiles and reports in line with agreed governance arrangements.
• Support system testing, upgrades and new functionality, working with the system supplier and Trust Digital Services as needed.
• Maintain system guidance, standard operating procedures and business continuity information.
• Promote accurate reporting, shared learning and a just and learning safety culture through consistent system use.
• Support the effective use and maintenance of the patient safety system across Care Groups and Corporate Directorates.
• Support the review of incidents, complaints, patient experience themes and risks to identify emerging safety issues and learning.
• Prepare routine reports on quality, overdue reviews, high-scoring risks, action completion and emerging themes.
• Work with the Medical devices team to support the delivery of National alerts such as NatPSA and MHRA.
