Job description

This is not just an administration role.

This is an opportunity to become a key part of a fast-growing aftersales operation.

Backed by a multi-billion-dollar global manufacturer, our UK operation is expanding rapidly across the construction and material handling sectors. As our business continues to grow, we are strengthening our aftersales capability to provide outstanding support to our customers and dealers throughout the UK.

We are looking for an organised, proactive and customer-focused Parts Specialist to join our growing team.

Your Mission

You will play a key role in supporting our aftersales operation by managing spare parts logistics, warehouse operations, inventory control and international supply chain activities across the UK. You will ensure the efficient movement, storage and availability of spare parts while working closely with both our UK team and Headquarters in China to deliver an outstanding customer experience.

This means:

  • Preparing and issuing customer invoices accurately and in a timely manner.
  • Preparing customer statements, monitoring accounts receivable and following up outstanding and overdue payments.
  • Managing spare parts orders from Headquarters to the UK, tracking shipments and coordinating with freight forwarders and logistics providers to ensure on-time delivery.
  • Coordinating import processes, customs clearance and international freight activities to ensure efficient inbound logistics.
  • Liaising closely with colleagues at Headquarters to monitor order progress and ensure the timely dispatch of spare parts.
  • Managing day-to-day warehouse and spare parts logistics operations, ensuring the efficient receipt, storage, picking, dispatch and movement of inventory.
  • Monitoring inventory levels, planning stock replenishment and maintaining optimal stock availability to support customer demand.
  • Maintaining accurate inventory records, ERP transactions and operational data to ensure stock accuracy and traceability.
  • Supporting procurement activities by creating purchase orders, coordinating with suppliers and monitoring order fulfilment.
  • Providing first-line support for the Company's ERP and business systems, including assisting users with day-to-day operational issues and delivering basic user training where required.
  • Producing inventory, logistics and operational performance reports to support business decision-making.
  • Working closely with the Sales, Service, Warehouse, Logistics, Finance and Headquarters teams to coordinate daily operational activities and improve cross-functional collaboration.
  • Identifying and implementing continuous improvements to spare parts processes, warehouse operations and supply chain efficiency.
  • Ensuring compliance with Company procedures, operational standards, health and safety requirements and relevant import and logistics regulations.

You will work closely with both our UK operation and colleagues at Headquarters, helping to ensure a smooth, efficient and customer-focused aftersales operation.

Who You Are

You are organised, detail-oriented and enjoy working in a fast-paced operational environment. You are an effective communicator who can manage multiple priorities while maintaining a high level of accuracy.

You bring:

  • Previous experience in parts operations, spare parts coordination, warehouse operations, logistics, supply chain, inventory management or a similar operational role.
  • Strong organisational and administrative skills with excellent attention to detail.
  • Experience preparing invoices, coordinating orders, managing inventory or supporting customer accounts.
  • Experience managing warehouse activities, inventory replenishment or logistics operations would be advantageous.
  • Good communication and interpersonal skills with the ability to work effectively across multiple departments.
  • Experience using ERP systems, CRM systems or similar business software.
  • Good Microsoft Office skills, particularly Excel.
  • The ability to analyse operational data and generate reports.
  • A proactive, flexible and customer-focused approach to work.

The following would be advantageous:

  • Experience within the construction equipment, material handling, automotive or industrial machinery sectors.
  • Experience with international supply chains, customs clearance, freight forwarding or import/export logistics.
  • Knowledge of inventory planning and warehouse management principles.
  • Fluency in both English and Mandarin Chinese would be an advantage, as the role involves regular communication with our Headquarters in China.

Why This Role Stands Out

  • Join a globally recognised construction and industrial equipment manufacturer.
  • Be part of a fast-growing UK business with significant long-term ambitions.
  • Work closely with both the UK operation and international Headquarters.
  • Competitive salary and benefits package.
  • Opportunities for professional development and career progression.
  • The chance to play a key role in developing our UK spare parts operation and delivering an outstanding customer experience.
