Our Travel Operations team at Saga is seeking a Supplier Administrator to support the Transport Department. This part-time role is responsible for maintaining accurate supplier records, processing payment information and helping our affiliate network meet the administrative and compliance requirements needed to deliver chauffeur-driven and private hire journeys across the Saga Group brands.

As Supplier Administrator, you will manage day-to-day administration for our affiliate suppliers, including expenses and rate adjustments, payment feeds, invoice queries, onboarding, contractual documentation, procurement system records and changes to supplier details. You will work closely with the Business Development & Partnerships Manager, Operations and Finance to ensure information is complete, accurate and updated within agreed timescales.

You will also act as a key contact for supplier queries, maintain shared master files and rate information, monitor documentation and support clear, timely communications with affiliates. Accuracy, organisation and sound judgement will be essential when investigating discrepancies and applying agreed adjustments.

This role would suit someone with strong administrative experience who is confident using Excel and business systems, managing detailed records and communicating professionally with suppliers. Experience within transport, travel, finance administration or supplier management would be advantageous.

We work in a hybrid way at Saga both at home and in the office. This role requires you to be working from our Crawley office a minimum of 1/2 times a week.

Role Responsibility
  • Administer supplier payments, expenses, invoices and agreed rate adjustments accurately and within required timescales.
  • Coordinate the onboarding of new affiliates, ensuring the required documentation, system records and pricing information are complete.
  • Oversee supplier compliance information and supporting evidence, including but not limited to Operator Licences, Public Liability Insurance certificates and self-billing agreements, following up or escalating any gaps.
  • Process changes to supplier banking, VAT, address and company details across the relevant systems and records.
  • Manage and triage supplier enquiries, responding promptly and referring matters that require approval or further investigation.
  • Maintain accurate supplier financial information within the procurement system, including company details, bank details and VAT status, and process weekly affiliate payments through the relevant shared master files.
  • Maintain accurate supplier operational records for planning and allocation purposes, including fleet numbers, coverage areas and agreed pricing.
  • Support day-to-day affiliate communications and operational administration, identifying, recording and escalating service or performance concerns as appropriate.
  • Produce and update management information used to monitor the affiliate network, while contributing to improved reporting that strengthens performance oversight and decision-making.
  • Collaborate with Transport Operations, Finance and the Business Development & Partnerships Manager to provide effective supplier administration.
  • Provide ad hoc administrative and operational support across the wider Transport team as required.
The Ideal Candidate
  • Strong administrative and organisational skills, with the ability to prioritise work effectively across a 21-hour working week.
  • A high level of accuracy and attention to detail when maintaining supplier, pricing, invoice and compliance records.
  • Good computer skills, including confident use of Microsoft Excel, Microsoft Office and third-party systems; experience of procurement and payment systems would be advantageous.
  • Experience of invoice administration, payment processing, supplier onboarding or maintaining contractual documentation is desirable.
  • A logical and methodical approach to investigating discrepancies, applying agreed adjustments and resolving queries.
  • Excellent written and verbal communication skills, with the confidence to manage supplier queries professionally and issue clear briefings.
  • Ability to manage sensitive supplier and banking information appropriately and maintain clear audit trails.
  • Ability to work independently, meet recurring deadlines and escalation issues promptly when approval is required.
  • Experience within transport, logistics, travel, finance administration or supplier management would be advantageous.
