Your role in our team:
  • We are looking for a skilled Receptionist/Administrator to join our Central Services Team at Saxham. Based on Reception, you will be responsible for all reception duties, as well as administration tasks to assist other departments.
    • Reception Duties:
      • Answering the telephone in a professional manner and forwarding all calls to the appropriate member of staff
      • Meeting and greeting all visitors ensuring they complete the relevant sign in procedures and providing them with refreshments etc
      • Ensuring the Reception area is clear and presentable at all times
      • Dealing with all incoming post – sorting and distributing as necessary
      • Organising all outgoing post ensuring it is correctly franked
      • Assisting with customers to the CLAAS shop as necessary
    • Administration Duties
      • Health & Safety:
        • Update all Health and Safety Notice Boards with relevant paperwork/information/amendments
        • Receive inspection sheets from all departments and scanning and saving to the relevant area on the drives / filing the hard copies
        • Complete inspection sheets for Technoparc, ground floor and Defibrillator, save and file all
        • Regularly check, order and replenish First Aid items as required
        • Maintain First Aiders list ensuring details are up to date and certificates are held on file
        • Arrange First Aid training courses and coordinate communications around attendance
      • Sales and Marketing:
        • Assist with sending brochures and promotional materials to customers
        • Assist with mailshots
        • Deal with general administration for our Kids Club
        • Update email groups with starters and leavers
        • Send out packs for new sales employees, eg, clothing and name badges
      • Ad hoc:
        • Meeting room bookings and organising refreshments if needed
        • External room bookings and organising refreshments if needed
        • Hotel bookings as required
        • Booking travel through our travel agent as required
        • Ordering stationery
        • Assisting with enveloping mail shots or filing if needed
Your profile:
  • Essential Skills and Knowledge:
    • The ability to remain calm under pressure
    • To present in a professional manner to ensure a great first impression – face to face, by telephone and email
    • Previous experience with Outlook, Word and Excel and an ability to use these proficiently
    • Ability to multi-task in a busy environment
    • Previous experience of working on a Reception and/or a customer facing role would be an advantage
  • Hours of Work
    The hours of work will be 1.00pm - 5.30 pm, Monday to Friday. Extra hours will be required to cover the other part time Receptionist during annual leave and sickness absence as appropriate.
