Office Services Coordinator Job Description

We are currently seeking a dynamic and organised Office Services Coordinator to join our team and support our everyday operations.

Position Overview

The Office Services Coordinator plays a pivotal role in maintaining the smooth and efficient functioning of our office. This position requires a proactive and detail-oriented individual who can manage administrative tasks, coordinate office activities, and provide support to the management team and staff alike.

Key Responsibilities
  1. Office Management: Oversee daily office operations, ensuring a clean, organised, and professional environment. Manage office supplies, equipment, and inventory to ensure adequacy and functionality.
  2. Communication Facilitation: Act as a liaison between various departments and external stakeholders. Handle incoming and outgoing communications and manage mail and package deliveries.
  3. Event Coordination: Plan, organise, and execute office events, meetings, and employee functions. Coordinate with vendors and service providers to ensure smooth execution of events.
  4. Document Management: Maintain and organise office files, records, and documentation. Assist in the preparation and processing of contracts, permits, and other construction-related documents.
  5. Technology Coordination: Assist with basic IT issues and coordinate with IT support for complex problems. Manage office telecommunications systems and internet services.
  6. Compliance and Safety: Ensure compliance with company policies, health and safety procedures, and industry regulations. Assist in implementing and monitoring safety protocols in the office.
Skill Set
  • Proven experience in an administrative or office coordination role within the construction industry is a plus.
  • Strong organisational, multitasking, and problem-solving skills.
  • Excellent verbal and written communication abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • A proactive mindset with the ability to work independently and as part of a team.
  • Strong attention to detail and a commitment to accuracy and timeliness.
