Conveyancing Legal Secretary Job Description

A Conveyancing Legal Secretary provides administrative support to conveyancing solicitors and other legal professionals involved in property transactions. This role involves preparing legal documents, managing client correspondence, handling client queries, and ensuring the smooth operation of the conveyancing department. The ideal candidate will have strong organizational skills, a keen eye for detail, and a solid understanding of property law and conveyancing processes.

Key Responsibilities
  1. Document Preparation: Draft, prepare, and proofread conveyancing documents such as contracts, agreements, title deeds, and client letters.
  2. Client Communication: Liaise with clients, estate agents, and third-party professionals, providing updates on transaction progress and responding to queries.
  3. File Management: Open, close, and manage files in accordance with company procedures, ensuring all documents are accurately filed and organized.
  4. Administrative Support: Organize and maintain appointment schedules, manage email correspondence, and assist with general administrative tasks such as photocopying, scanning, and filing.
  5. Transaction Management: Support conveyancing solicitors in managing the progress of property transactions, including timelines and key dates.
  6. Compliance and Reporting: Ensure all processes adhere to legal and regulatory requirements, including AML (Anti-Money Laundering) checks and procedures.
  7. Liaise with Mortgage Lenders: Communicate with mortgage lenders and other parties involved in the transaction to obtain required documents or information.
  8. Telephone and Reception: Answer calls and assist with reception duties as needed, directing clients to the relevant solicitors or departments.
  9. Diary Management: Schedule and coordinate meetings, appointments, and deadlines, ensuring all parties are aware of important dates.
The Successful Applicant
  • Experience: Previous experience in a conveyancing or legal environment is essential. Knowledge of property law, conveyancing processes, and legal terminology is highly desirable.
  • Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, Outlook). Familiarity with legal software such as case management systems (e.g., Proclaim, LexisNexis) is an advantage.
  • Attention to Detail: Strong attention to detail, with the ability to proofread documents and identify errors or inconsistencies.
  • Communication Skills: Excellent written and verbal communication skills, with the ability to liaise professionally with clients, solicitors, and external parties.
  • Organization: Strong organizational and time-management skills with the ability to manage multiple tasks and prioritize effectively.
  • Discretion and Confidentiality: Ability to handle sensitive information with discretion and maintain confidentiality at all times.
