Are you ready to be the heartbeat of a dynamic engineering team in Scarborough?

We're on the lookout for an Office Manager / PA to join a close-knit, friendly company.

This is your chance to take on a pivotal role, providing top-notch administrative and secretarial support to the Director and Engineers.

You'll be the first point of contact for our valued clients, representing our professional image with every interaction.

If you're organised, proactive, and ready to manage an office with precision and flair, ensuring everything runs smoothly and in compliance with industry standards, we want to hear from you!

Some of the Office Manager / PA duties include:

  1. Oversee utilities and maintenance to keep the office running smoothly, ensuring all tasks comply with legislative requirements.
  2. Maintain and optimise our filing and archiving systems to ensure the office operates efficiently and effectively.
  3. Utilise a bespoke database to seamlessly book and monitor projects, keeping everything on track.
  4. Provide comprehensive secretarial support, including typing reports (some audio) using Microsoft Word and Adobe.
  5. Monitor and order office supplies, including catering essentials, to keep the office well-stocked and ready for anything.
  6. Arrange both informal and formal meetings, handling everything from venue preparation to organising equipment, agendas, and refreshments.
  7. Ensure the Office Notice Board is always up-to-date and compliant with regulations.
  8. Arrange transport and accommodation for our engineers, ensuring their travel plans are seamless.
  9. Maintain accurate records of sickness absence and annual leave via our internal system.
  10. Efficiently manage incoming and outgoing mail, ensuring everything is distributed and processed in a timely manner.
  11. Handle all internal and external telephone enquiries proactively, directing them appropriately and professionally.

This is a permanent position working Monday to Friday, 8:30 am - 5:00 pm. We are open to applicants wanting either 4 or 5 days per week, with a salary of £25,000-£29,000 FTE depending on experience.
